Job Title: Office Secretary / Receptionist
Location: On-site
Salary: £28,000 – £30,000 per annum
Hours: Monday to Friday, 08:30 – 17:00 (1-hour lunch break, 13:00 – 14:00)
About the Role
We are seeking a highly organised and professional Office Secretary / Receptionist to join our Administration Department. This is a key front-of-house and administrative role, acting as the first point of contact for visitors and supporting the wider team with day-to-day office operations.
Key Responsibilities

Answering incoming calls and transferring them using the Microsoft Teams telephone system

Managing voicemail and responding to messages promptly

Typing correspondence and documents for various departments

Organising and coordinating meetings, events, and travel arrangements

Greeting visitors, managing sign-in procedures, and directing them to meeting rooms

Preparing meeting rooms and arranging refreshments for client meetings

Organising internal lunches and making reservations when required

Managing incoming and outgoing post

Distributing electronic communications

Maintaining accurate records in the document management system

Supporting the transition to a paperless office by digitising documents

Keeping Outlook contacts up to date

Ordering office consumables as needed

Ensuring reception and communal areas are tidy and presentable at all times

General office administration and ad hoc duties as required
Skills & Experience

Strong written and verbal communication skills

Good numerical ability

Proficient in Microsoft Office 365 (especially Word)

Confident in producing professional correspondence and documents

Good touch-typing speed

Relevant training or qualifications (desirable)
