Contracts Administrator
Location: Aldgate, London
Salary: £35,000 per annum
Hours: Monday to Friday, 8:00am to 5:00pm
Fully office based
Our client is a well-established and growing building services and facilities maintenance provider, delivering planned preventive maintenance, reactive repairs, and project works across commercial and residential properties throughout London and the South East.
The Role
An exciting opportunity has arisen for an organised and proactive Contracts Administrator to join a busy operations team You will be responsible for supporting the delivery of planned preventative maintenance (PPM) contracts, coordinating reactive works, managing quotations, updating client systems, and ensuring all administration is completed accurately and efficiently.
Key Responsibilities
Coordinate and schedule maintenance visits and associated paperwork.
Maintain contract and maintenance agreement records.
Place and manage subcontractor orders for specialist services.
Update maintenance planning schedules and customer records.
Ensure engineer and subcontractor attendance information is accurately recorded
Log and schedule reactive maintenance callouts
Obtain supplier and subcontractor quotations
Prepare and issue quotations and purchase orders
Support invoicing and job closure processes
Update spreadsheets, reports, and work-in-progress trackers.Essential Requirements
Experience within facilities management, maintenance, construction, or building services
Previous experience in an administration, service coordination, helpdesk, or contracts support role
Understanding of quotations, purchase orders, and invoicing processes
Good working knowledge of Microsoft Word and Excel
Strong written and verbal communication skills
Ability to work independently and prioritise workload effectivelyWhat's on Offer?
