Location: London – Hybrid, with approx. three days per week in the London office (including Tuesday). The EA team provides onsite cover between 8am–5pm.

We’re looking for highly organised, proactive and resilient Executive Assistants to provide exceptional support to an Executive Director, wider directorate, and play a pivotal role in our CEO Office. This is not a traditional EA role — it’s ideal for someone who thrives in a fast-paced environment, enjoys variety, and takes pride in operating as a trusted, strategic partner. You’ll anticipate needs, drive priorities, and help ensure the Executive Director, Senior Leadership Team and directorate operate at their best.
What you’ll do

Act as an extension of an Executive Director — managing priorities, protecting focus and enabling effective decision-making.

Take full ownership of diary and inbox management, making informed decisions, resolving clashes and ensuring full preparation for all commitments.

Lead and coordinate meetings and events, preparing agendas, minutes and follow-up actions, while continually improving meeting effectiveness.

Plan and support complex events, VIP visits, team activities and site visits.

Produce high-quality briefings, reports and presentations for senior and Board audiences, and oversee all Board and Committee papers on behalf of the directorate.

Manage correspondence in line with policies, drafting responses independently.

Oversee travel, expenses, budget setting, purchase orders and financial processes.

Lead onboarding, IT setup and induction planning for new starters.

Maintain HR systems, deadlines and policies to ensure full compliance.

Provide administrative support to SLT members and collaborate with the wider EA network, offering absence cover where required.

Support London office operations, including post management, contractor liaison, stock checks, H&S requirements and facilities coordination.
What you’ll bring

Significant EA/PA experience at Executive Director level.

Excellent digital capability and strong Microsoft Office skills.

Understanding of AI and confidence in promoting its use.
