TEAM ASSISTANT
Our client, a global investment bank, is currently seeking experienced and passionate Team Assistants to provide extensive administrative support to Associate and Junior VP-level bankers. This is a high-performance role working in a fast-paced team. TEAM ASSISTANT ROLE:
Manage demanding and ever-changing diaries, scheduling meetings and conference calls across the UK and Europe and adapting swiftly to last-minute changes or priorities
Provide high-quality administrative support to a team of approximately 20 investment banking professionals based in Birmingham, including Junior Vice Presidents, Managing Directors, and senior stakeholders
Collaborate closely with the VP and MD Support Team, a group of Team Assistants, to ensure seamless coordination and consistency across all business support activities
Coordinate both in-person and virtual meetings, ensuring all logistics, materials, and technology requirements are arranged and functioning effectively
Arrange comprehensive domestic and international travel itineraries, covering flights, accommodation, ground transport, and visa applications when required
Prepare detailed travel packs, including agendas, meeting documents, and logistical notes to support the VPs and Directors during trips
Manage and process expenses accurately through internal systems, ensuring timely submission and adherence to company policy
Maintain clear and organised records of financial transactions, approvals, and reimbursements for audit and reporting purposes
Build and maintain strong working relationships with colleagues, clients, and business partners at all levels, both within Birmingham and across global offices
Liaise confidently with senior-level stakeholders, demonstrating discretion, professionalism, and a strong understanding of the investment banking environment TEAM ASSISTANT ESSENTIALS:
Minimum 12 months of experience in diary management
Communicate clearly and professionally in person, on the phone, via Zoom and by email when liaising with colleagues and stakeholders at all levels
Demonstrate the ability to manage multiple time-sensitive tasks and priorities, remaining organised and focused under pressure
Work collaboratively as a supportive team player, maintaining a positive attitude and contributing to a cooperative working environment
Show dependability and strong attention to detail, with the ability to multitask effectively and maintain high standards of accuracy
Be confident using Microsoft Word, Excel and Outlook to a high standard, producing accurate and well-presented documents.
Be willing, approachable and demonstrate a professional, can-do attitude in every aspect of their work
Be adaptable and flexible, able to provide support across several teams as business needs evolve
Use initiative and resourcefulness to solve problems and find practical solutions with minimal supervision
Exercise discretion and sound judgment when handling confidential or sensitive business information
Prior experience in the financial industry is preferred but not essential
