The Role
As a Learner Support Coordinator, you will play a vital role in ensuring the smooth running and high-quality learner experience across their apprenticeship and bootcamp programmes. You will help coordinate the end-to-end learner journey, from onboarding and cohort set-up through to programme completion and End-Point Assessment (EPA). From managing cohort and session logistics, setting up and maintaining learner resources and libraries, responding to learner queries, and supporting tutors and Skills Coaches, to coordinating the operational aspects of EPA, you’ll be at the heart of ensuring every learner interaction is impactful, organised, consistent, and learner focused.
You will work closely with learners, tutors, Skills Coaches, Learning Partners, employers, and external EPA organisations to ensure key information, resources, communications, sessions, and deadlines are well coordinated. You’ll be someone who keeps things moving, spots what needs doing, and helps create a seamless experience for everyone involved.

Key Responsibilities
-
End-to-End Learner Journey: Coordinate the learner journey from onboarding through to completion, ensuring learners receive clear information, timely support, and a consistent experience throughout their programme. This includes onboarding, cohort logistics, ongoing learner queries, programme administration, and coordination through to End-Point Assessment (EPA).

Session Logistics: Create and manage Zoom/Teams links and detailed invites, ensuring sessions are scheduled, accessible, and professional. Coordinate calendars, communications, and practical arrangements to support the smooth delivery of learning.

Learner Engagement: Champion high attendance and learner participation, working closely with Skills Coaches, tutors, and Learning Partners to identify and address barriers to engagement and support learner success.

Coach & Tutor Support: Assist Skills Coaches, tutors, and Learning Partners with learner engagement and programme administration, including following up with learners, supporting communications, booking sessions, and coordinating actions arising from learner reviews.

Cohort Coordination: Manage the day-to-day logistics of cohorts, ensuring learners, tutors, Skills Coaches, and Learning Partners have the information and resources they need. Coordinate cohort communications, key dates, deadlines, workshops, reviews, and other programme activity.

Onsite Coordination: Manage in-person session logistics, including venues, refreshments, parking, room set-up, materials, and other practical arrangements to ensure sessions run smoothly.

Resource & Library Management: Coordinate the organisation and maintenance of programme resources and learner libraries. Check, PDF, quality-check, and upload session slides and resources, adding appropriate wraparounds and ensuring materials are accurate, accessible, consistently presented, and available to learners in a timely manner.

Learner Queries & Communication: Act as a key point of contact for learner queries, responding promptly or directing queries to the appropriate member of the team. Ensure learners receive clear, consistent, and supportive communication throughout their programme.

E-Portfolio & Compliance: Support Bud (our learning management system) and other programme systems, ensuring learner records, activities, evidence, and key programme information are maintained accurately and contribute to wider compliance requirements.

EPA Coordination: Coordinate the operational aspects of the End-Point Assessment process, working with learners, Skills Coaches, tutors, EPA organisations, and internal teams to ensure gateway requirements, documentation, scheduling, communications, and key deadlines are managed effectively through to completion.

Quality & Improvement: Actively support continuous improvement by monitoring learner and tutor feedback, identifying operational issues, and helping to ensure resources, processes, systems, and learner experiences consistently meet high standards.

Your Experience & Knowledge

Experience in education, training, or apprenticeship and bootcamp programme delivery.

Experience in administration, coordination, or programme support.

Strong digital skills with confidence in platforms such as Teams/Zoom and online learning environments.

Excellent organisational skills, with the ability to manage schedules, resources, and documentation.
