HGV Service Planner & Administrator

💰 Salary: £29,000 – £31,000 plus bonus

⏰ Hours: Monday to Friday, 8:00am – 5:00pm | 1 in 4 Saturdays, 8:00am – 12:00pm
We are currently recruiting for an experienced HGV Service Planner & Administrator to join a busy and well-established commercial vehicle service operation in the Reading area.
This is a key role within the service department, responsible for coordinating workshop bookings, supporting customers throughout the repair process, and ensuring accurate administration and invoicing.
The Role
You will be responsible for:

Booking vehicles in for servicing, routine maintenance, MOTs, and additional repairs

Managing workshop capacity and scheduling appointments

Keeping customers updated on vehicle progress and any delays

Preparing and processing job cards

Supporting MOT administration and invoicing

Scanning and filing service documentation

Ordering parts and subcontract work where required

Raising invoices and maintaining accurate vehicle history records

Carrying out customer follow-up calls after workshop visits

Promoting additional workshop services where appropriate
This is a varied and fast-paced role where no two days are the same. The successful candidate will need to be organised, proactive, and confident communicating with both customers and colleagues.
What We’re Looking For

Previous experience in an automotive service, planning, administration, or service advisor role

HGV or light commercial vehicle industry experience is highly desirable

Strong organisational and administration skills

Confident verbal and written communication skills

Ability to multitask and work to deadlines

Good problem-solving skills

Comfortable working with costing and invoicing information

Able to work independently and as part of a team
Salary & Bonus

£29,000 – £31,000 depending on experience
