Our client, a well-established and respected manufacturing organisation based in Warwick, is seeking an organised and proactive Facilities Administrator to join their Facilities team.
This is an excellent opportunity for an experienced administrator with strong coordination skills and an interest in facilities, maintenance, or operational support. The successful candidate will play a key role in ensuring the smooth day-to-day operation of the site by coordinating maintenance activities, supporting compliance processes, and acting as a central point of contact for contractors and internal stakeholders.
Key Responsibilities

Coordinate and schedule planned and reactive maintenance activities

Maintain accurate maintenance records, service reports, and compliance documentation

Liaise with contractors, suppliers, and service providers

Monitor building systems including HVAC, lighting, security, utilities, and plant equipment

Support health & safety activities including audits, risk assessments, and incident reporting

Assist with facilities-related purchasing of tools, equipment, and consumables
-
Support office moves, workspace planning, and general workplace requirements

Monitor maintenance schedules and ensure deadlines and service levels are achieved

Provide general administrative support to the Facilities team
About You
To be successful in this role, you will have:

Previous administration experience (ideally 3+ years)

Excellent organisational and multitasking skills

Strong communication and stakeholder management abilities

A proactive and solutions-focused approach

Good working knowledge of Microsoft Office and digital reporting systems

Experience maintaining accurate records and documentation

Understanding of health & safety procedures and compliance requirements

Ability to prioritise workload in a fast-paced environment
Desirable Experience
-
Facilities, maintenance, construction, or engineering administration experience

Knowledge of Planned Preventative Maintenance (PPM) systems

Experience supporting ISO audits and compliance processes
-
Experience with asset management or facilities databases
-
Business Administration qualification or equivalent
Working Hours
Monday to Thursday: 8:00am – 4:30pm
Friday: 8:00am – 1:00pm
