About the role
Our client is seeking a highly organised and proactive Estates Admin & Transport Coordinator to provide vital administrative and operational support across a multi‑site education estate. Reporting to the Director of Estates, Facilities, Security and Health & Safety, this role is central to keeping estates, transport and compliance running smoothly.
You’ll work on-site across multiple campuses, acting as the first point of contact for estates enquiries, contractors, and transport operations, while supporting compliance, systems, and reporting.
Key responsibilities

Act as the main contact for estate queries, inbox and telephone

Support estates teams across multiple campuses with clear communication

Manage minibus bookings, scheduling and transport issues

Line manage College Drivers and coordinate rotas, training and routes

Oversee fleet compliance, including MOT, servicing, tax and insurance

Maintain compliance records, inventories and equipment registers

Support COSHH, risk assessments and policy updates

Administer service contracts, invoices and purchase orders

Act as lead admin user for the CAFM/CRM system and train new starters

Maintain contractor and authorised supplier records

Procure uniforms, PPE and estates supplies following procedures

Provide general admin support, including minutes, training and reporting

Support emergency response communications when required
