About the Role
An exciting opportunity has arisen for a Commercial Assistant to join a busy and fast-paced Commercial team. This role is ideal for someone with strong administrative skills who thrives in a detail-oriented environment and enjoys supporting financial and operational processes.
You will provide efficient, professional, and customer-focused administrative support, with a particular emphasis on subcontractor and supplier payments, documentation, and coordination across the department.
Key Responsibilities
Commercial & Financial Administration

Set up and manage supplier and subcontractor accounts, ensuring all documentation is complete and up to date

Issue and maintain framework agreements and ensure compliance with company policies

Raise purchase orders and process invoices and payment applications

Support payment runs, including subcontractor payments and issuing payment certificates

Assist with managing service bills, supplier queries, and finance-related matters (e.g. VAT queries, refunds)

Handle sales extras, including costing, ordering, and liaising with subcontractors

Support retention releases and bought ledger activities where required
Coordination & Support

Work closely with Surveyors and internal teams to ensure timely payments and smooth site operations

Maintain accurate records, databases, and documentation with a high level of attention to detail

Provide administrative support for meetings, reports, and board papers

Assist with onboarding new team members and maintaining departmental systems
Communication & Organisation

Act as a key point of contact for internal and external queries via phone and email

Build and maintain strong working relationships with suppliers, subcontractors, and colleagues

Manage departmental calendars, meeting schedules, and office coordination tasks

Handle incoming correspondence, deliveries, and general office administration
Skills & Experience

Previous experience in an administrative or organisational role (ideally within Commercial, Finance, or Construction)

Strong IT skills, including Microsoft Word, Excel, and Outlook (experience with COINS or similar systems is advantageous)

Ability to work in a fast-paced, deadline-driven environment

Excellent organisational skills with the ability to multitask and prioritise workload

High attention to detail and accuracy in documentation

Strong communication and teamwork skills

Proactive, reliable, and motivated approach to work

Full UK driving licence preferred
