Executive Assistant
An exciting new opportunity has arisen for a hybrid Executive Assistant role. You will be responsible for delivering high-quality personal, secretarial, and administrative support to a newly appointed Director.
In addition to strong Executive Assistant skills, your project management experience will enable you to effectively manage deadlines and keep teams on track. You will bring strong interpersonal skills, allowing you to be approachable and responsive to others’ needs, while remaining confident in prioritising your workload.
Strong IT skills are a must including a willingness to embrace AI to improve efficiency

Responsibilities:

Providing confidential, high-quality personal assistance and administrative support to the Executive Director, ensuring time is utilised well

Managing a complex diary, coordinating meetings, travel, and accommodation arrangements.

Monitoring and reviewing departmental expenditure against agreed budgets and support forecasting activity.

Provide full secretariat support to the Departmental Leadership Team, including preparation of reports

Prepare agendas and papers and take minutes for Management Boards and Committee meetings as required.

Produce and maintain an annual timetable of all Board, Committee, Team, and other internal meetings.
You will possess:

Exceptional organisational and diary management skills, with the ability to coordinate complex schedules and competing priorities.

Strong written communication: drafting correspondence, preparing board‑level papers, and producing accurate minutes.

High level of confidentiality, discretion, and professional judgement when managing sensitive information.

Excellent stakeholder management skills, including working with senior leaders, external partners, and board members.

Ability to anticipate needs, solve problems proactively, and manage tasks with minimal supervision.

Strong digital proficiency, including Microsoft 365 (Outlook, Teams, Excel, Word, PowerPoint, AI) and document management systems.

Ability to manage and track actions across multiple projects and workstreams

Familiarity with financial and investment concepts or an understanding of the housing, construction / development sector
