Business Support Assistant - Job Description
Location: Soho (Hybrid 1 day wfh after probation)
Salary: 30-35k
Role: Perm, Full-time
Reports to: Office Manager
Purpose
The Business Support Assistant will provide essential support across internal teams to ensure the smooth day‑to‑day running of the office. This role acts as a professional and welcoming first point of contact for visitors and supports meeting coordination, reception duties, and general administration. The successful candidate will also assist the Legal, Property Management (PM), and Asset Management (AM) teams with a range of administrative tasks to help keep operations organised and efficient.
Key Responsibilities
Provide day‑to‑day administrative support, including filing, scanning, document formatting, and bulk mailings.
Manage incoming calls, emails, and general correspondence.
Arrange and coordinate meetings, including venue booking, IT setup, refreshments, and attendance logistics.
Coordinate travel arrangements and itineraries where required.
Prepare and send pre‑drafted formal correspondence such as letters and bulk emails.
Arrange access for site inspections, surveys, viewings, and maintenance works, liaising with internal teams and external stakeholders.
Produce accurate meeting minutes and assist in compiling reports and presentations for management meetings.
Organise and manage office supplies, including stationery, weekly food orders, coffee pods, and soft drinks.
Process expenses and mileage claims in line with internal procedures.
Carry out daily post duties, ensuring outgoing mail is sent promptly and incoming mail is distributed accurately.
Support internal events, meetings, and office initiatives.
Undertake ad‑hoc administrative duties to assist with the smooth running of the office.Person Specification

Previous administrative experience preferred.

Competent user of Microsoft Office applications (Word, Outlook, Excel, PowerPoint).
Additional IT or systems training will be provided as required.
