Description
Provide comprehensive administrative support to the HR team as required.
Administer the Absence Management process, including recording Absence Declaration Forms, Return to Work forms and Monthly Absence Forms, and supporting the Absence Caution procedure. Provide guidance to managers on documentation and processes.
Manage the end-to-end leavers process, including acknowledging resignations, liaising with managers to capture feedback and learning outcomes, updating HR systems, and archiving records.
Produce accurate HR reports for Business Partner meetings, analysing and interpreting data to identify trends, risks, and areas of concern.
Support Employee Relations activities such as investigations, performance management, and disciplinary processes, including note-taking, preparation of documentation bundles, and maintaining case files.
Support contractual variation processes by preparing variation forms and letters and ensuring timely notification to Payroll.
Prepare employment contracts and contract amendments as required.
Produce and distribute pension-related correspondence, including auto-enrolment letters, as advised by Payroll.
Undertake accurate note-taking and prepare reports using Microsoft Office and relevant HR systems.
Ensure accurate input, validation, and maintenance of data within HR and Payroll systems.
Administer DBS checks in line with safer recruitment requirements, regulatory standards, and local authority contracts, ensuring applications are processed and monitored in a timely manner.
Maintain secure, accurate, and well-organised HR records, both electronic and manual, including filing, archiving, and document management.
Support internal and external audits by ensuring compliance with HR processes and documentation.
Ensure compliance with GDPR and internal data management policies, maintaining strict confidentiality at all times.
Act as a first point of contact for HR queries, responding to routine enquiries and signposting to the appropriate team member as needed.
Process HR correspondence for internal and external stakeholders.
Actively promote and support the organisation's Equality and Diversity Policy.
Maintain confidentiality when dealing with staff at all levels.
Undertake any other duties appropriate to the role as required.
Profile
A successful HR Assistant should have:
Proven proficiency in Microsoft Office, including Word and Excel.
Strong ability to accurately input, analyse, and validate data, ensuring records are up to date and reliable.
Able to work effectively as part of a team and contribute positively within a collaborative environment.
Capable of managing a varied workload, prioritising tasks, and meeting deadlines with minimal supervision.
Excellent written and verbal communication skills, with the ability to communicate clearly and professionally at all levels.
High level of IT literacy with strong attention to accuracy.
Strong customer service focus, with the ability to respond professionally and supportively to internal and external stakeholders.
Job Offer
