The Customer Support Administrator plays a crucial role in coordinating and controlling the administrative functionality to ensure efficient operations. They are responsible for executing assigned duties and procedures to facilitate and support both suppliers and customers.
One of their primary responsibilities is to keep all customers well-informed and up to date by accurately updating, processing, and maintaining customers’ and suppliers’ orders.
Moreover, the Customer Support Administrator also plays a vital role in sourcing goods and services for the organization. They must demonstrate proficiency in strategic procurement activities, including negotiating for better sales margins and engaging with approved suppliers.

Job Responsibilities:
- Generating and dispatching authorized purchase orders and RFQs to suppliers.
- Maintaining the system’s daily updates and offering feedback to customers.
- Delivering exceptional customer service, actively engaging with customers, and fostering sustainable growth.
- Adhering to ISO 9001, IQ SMS, and SOP policies and standards.
- Taking ownership of customer issues and diligently pursuing resolutions.
- Maintaining accurate records and documenting customer service activities and conversations.
- Managing workflow and prioritizing tasks effectively.
- Maintaining a clean and organized work environment.
- Providing daily quoting, follow-up, and processing of sales and purchasing orders.
- Assisting with stock-taking activities as needed.
- Updating vendor accreditations, specifically ISO 9001.
- Performing general administrative tasks such as filing and processing paperwork.
- Updating customer contact lists and databases.
- Attending meetings and offering feedback to management as necessary.
- Staying informed about technical advancements and product replacements.
- Collaborating with stakeholders to ensure clear documentation of requirements.
- Predicting price and market trends to identify shifts in buyer-supplier power.
- Conducting cost and scenario analyses, as well as benchmarking activities.
- Assessing, managing, and mitigating risks.
- Seeking out and establishing partnerships with dependable vendors and suppliers.
- During a work colleague’s leave of absence or during a month end or peak business periods, you may be required to perform other tasks upon reasonable request from your manager.
Job Requirements:
- A minimum of 3 years of experience in a customer service role.
- Possess general knowledge of the aviation industry.
- Completion of customer service training programs or courses can provide valuable skills and knowledge in handling customer inquiries, resolving issues, and delivering exceptional service.
