PART-TIME LETTINGS CONTRACTS ADMINISTRATOR
STUDENT ACCOMMODATION, CANTERBURY
MONDAY - FRIDAY / 10:00 - 14:30 / 22.5 HOURS PER WEEK
SALARY £27,000 (PRO RATA'D ACCORDINGLY BASED ON 22.5 HOURS PER WEEK)
We’re looking for an exceptional organiser who knows lettings contracts inside out.
Westgate One is looking for an experienced Lettings Contracts & Compliance Administrator to join our small, friendly and incredibly busy team.
This is a key role within our student accommodation operation.
You will take ownership of the administrative and compliance journey from an applicant agreeing to take a property through to their tenancy commencing, making sure that every check, document, payment and deadline is dealt with accurately and on time.
This is not an entry-level lettings position. We are looking for someone who already has practical experience of residential lettings administration/contracts in England and understands the importance of getting the detail right.
WHAT YOU'LL BE DOING:
You'll manage the tenancy application and contracting process, including:
• Carrying out Right to Rent checks and maintaining appropriate evidence.
• Managing applicant referencing.
• Coordinating guarantor checks and guarantor agreements.
• Carrying out or coordinating affordability and credit checks.
• Completing relevant anti-money laundering and identity verification procedures in accordance with the requirements applicable to our business.
• Ensuring our tenancy processes remain compliant with the Renters' Rights Act 2025 and other relevant lettings legislation.
• Supporting Westgate One's compliance with the new Private Rented Sector Database as it is introduced.
• Preparing appropriate tenancy agreements and issuing documentation for electronic signature.
• Taking and correctly administering holding deposits.
• Issuing balance requests for first rent payments at the appropriate time.
• Registering tenancy deposits with the relevant government-authorised tenancy deposit protection scheme and ensuring required information is issued.
• Actively progressing applications rather than simply waiting for paperwork to come back.
• Regularly speaking with applicants, tenants, parents and guarantors to resolve queries and keep applications moving.
• Monitoring outstanding actions and key dates so nothing gets missed and tenancy commencement dates remain on track.
• Keeping accurate and complete tenancy, compliance and audit records.
• Handling applicants' personal and financial information sensitively and in accordance with UK GDPR and data protection requirements.
You'll also be part of a small operational team, so from time to time you'll get involved in wider tasks such as:
• Property and room inspections
• Meter readings
• Arranging inventories and check-outs
• Liaising with contractors and third parties
• Assisting colleagues during changeover periods
• Supporting the wider team wherever required
WHO WE'RE LOOKING FOR:
You'll need:
• Previous experience in a residential lettings contracts, tenancy progression or lettings administration role
• A good working knowledge of current English residential lettings legislation and compliance requirements
• Experience preparing and progressing tenancy agreements
• Experience of referencing, guarantors, deposits and Right to Rent procedures
• Exceptional attention to detail
• Excellent organisation and the ability to manage a large number of applications and deadlines simultaneously
• Strong written and verbal communication skills
• Confidence picking up the telephone and speaking to applicants, tenants, parents and guarantors
• The persistence to proactively chase outstanding information and keep applications moving
• Good judgement, discretion and an understanding of the importance of confidentiality and GDPR
• A calm, empathetic manner, particularly when circumstances are sensitive or conversations are difficult
• The ability to work independently while being very much part of a small team
Experience within student accommodation or student lettings would be a considerable advantage.
HOURS:
This is a part-time role of 22.5 hours per week, Monday to Friday, 10:00 – 14:30.
Our busiest period is during the summer changeover and student move-in season, so we're looking for someone who can offer additional hours/flexibility during peak summer periods by prior agreement.
SALARY & BENEFITS:
- £27,000 per annum FTE, pro rata for 22.5 hours per week, depending on experience.
- Company pension scheme
- Private medical insurance
- Employee assistance programme
- Various team events throughout the year
WHY WESTGATE ONE?
Westgate One is Canterbury's newest and (we think) most premium student accommodation offering, based in the heart of our beautiful city.
We aim to offer a level of customer service to our tenants that matches the high standard of our studio properties, so we're looking for the best of the best to join our team.
We're a small team, which means everybody matters. This position has genuine ownership of an important part of the business, and you'll work closely with the onsite team and Operations Director.
We're looking for somebody who takes pride in getting things right, enjoys bringing order to a busy workload and understands that behind every application is a person who needs keeping informed.
If you're highly organised, experienced in lettings compliance and the person who makes sure nothing falls through the cracks, we'd love to hear from you
