About the Job
AA Mortgage Gateway is seeking a highly organised and proactive Secretary / Administrator to support the day-to-day running of our mortgage and finance brokerage business. The successful candidate will play a key role in ensuring applications progress efficiently by liaising with clients, lenders, solicitors, estate agents, and other third parties while providing excellent administrative support.
Reporting to: Managing Director / Mortgage Adviser
Department: Mortgage & Protection Administration
Key Responsibilities
Administration & Office Support
● Manage daily office administration and ensure efficient workflow.
● Handle incoming and outgoing correspondence, including emails, telephone calls, and post.
● Maintain accurate client records and electronic filing systems.
● Prepare and issue letters, reports, and other business documents.
● Schedule appointments, meetings, and client consultations.
● Maintain compliance records and documentation.
Client & Third-Party Liaison
● Act as a primary point of contact for clients throughout the mortgage application process.
● Liaise with banks, building societies, lenders, solicitors, estate agents, surveyors, and insurance providers.
● Obtain required documentation from clients and third parties.
● Follow up on outstanding information and provide regular progress updates.
● Assist in resolving queries and ensuring smooth communication between all parties.
Mortgage & Finance Administration
● Complete mortgage, protection, and finance application forms accurately.
● Package and submit applications to lenders and other financial institutions.
● Track application progress and maintain detailed case notes.
● Request and review supporting documentation, including identification, income ● evidence, bank statements, and property information.
● Assist advisers with case preparation
● Monitor pipeline cases to ensure timescales and deadlines are met.
Compliance & Record Keeping
● Ensure all client files are maintained in accordance with company procedures and regulatory requirements.
● Maintain confidentiality and data protection standards.
● Support audits and compliance reviews as required.

Requirements
Skills & Experience Required
Essential
● Previous experience in an administrative, secretarial, or customer service role.
● Excellent written and verbal communication skills.
● Strong organisational skills and attention to detail.
● Ability to manage multiple tasks and prioritise workload effectively.
● Proficient in Microsoft Office (Word, Excel, Outlook).
● Professional telephone manner and client-focused approach.
Desirable
● Previous experience within a mortgage brokerage, financial services, banking, estate agency, or legal environment.
● Knowledge of mortgage application processes.
● Familiarity with CRM systems and lender portals.
● Understanding of compliance and regulated financial services environments.
