About the Role
We're looking for a highly organised Project & Administration Coordinator to join our team and support a range of large-volume recruitment and workforce projects.
This role is heavily focused on administration, data management, and onboarding activity. You'll play a key part in ensuring candidate information is accurately recorded, systems are updated, documentation is processed efficiently, and onboarding activities are completed within agreed timelines.
Working across multiple workstreams, you'll liaise directly with candidates via phone and email to obtain outstanding information, support onboarding requirements, and ensure a smooth transition into assignment. This role is ideal for someone who enjoys working with data, systems, and process-driven administrative tasks while maintaining a high level of customer service.
What You'll Be Doing
Supporting the delivery of large-scale recruitment and onboarding projects.
Accurately entering and maintaining candidate information across internal systems and databases.
Processing onboarding documentation and ensuring records are complete, accurate, and compliant.
Updating systems with candidate details, assignment information, and payroll-related data.
Contacting candidates via phone, email, and SMS to obtain outstanding information, including bank details, right-to-work documentation, and onboarding requirements.
Chasing missing documentation and ensuring completion within project timelines.
Supporting pre-employment screening and compliance activities.
Managing candidate, associate, and client queries through shared mailboxes and telephone lines.
Conducting regular data audits and quality checks to ensure system accuracy.
Producing reports and tracking progress against onboarding and project milestones.
Supporting payroll administration and resolving associated queries.
Working collaboratively with project teams to ensure service levels and deadlines are achieved.
Providing general administrative support to ensure the smooth running of day-to-day operations.
What We're Looking For
Previous experience in an administration, project support, onboarding, recruitment coordination, or customer service role.
Strong data entry and administration skills with excellent attention to detail.
Experience working with databases, CRM systems, or workforce management systems.
Comfortable handling high volumes of information while maintaining accuracy.
Excellent organisational skills with the ability to manage multiple priorities and deadlines.
Professional and confident telephone manner.
Strong written and verbal communication skills.
Ability to build positive working relationships with candidates, clients, and colleagues.
Competent user of Microsoft Office, particularly Excel, Outlook, and Word.
Proactive approach to problem solving and process management.
