With fresh plans for how it engages its members, events are firmly on the agenda. They’re looking for an organised, personable Events Coordinator who enjoys bringing people together and making sure everything runs smoothly, from the first invitation to the final delegate heading home.
The Role – Events Coordinator
Working closely with the Office & Events Manager, you’ll help coordinate a varied programme of international conferences, meetings and virtual events. There’s plenty to get involved in, including venues, suppliers, delegate communications, event content and the practical details that turn a good plan into a great experience.
You’ll also support the day-to-day administration of the organisation, so this will suit someone who enjoys variety and is happy to roll their sleeves up. You’ll have room to contribute ideas and see the difference your work makes.
The role is 20 hours per week, ideally spread across Tuesday to Thursday, with at least two days each week in the Newmarket office. You’ll also need flexibility to attend events outside normal working hours, including occasional weekends and overseas travel.
Key Responsibilities – Events Coordinator

Help plan and deliver international conferences, meetings and events, both online and in person.

Coordinate venues, catering, speakers, equipment, travel and accommodation.

Manage registrations, delegate communications and accessibility requirements.

Keep the events calendar updated so members know what’s coming up and when to book.

Source suppliers, negotiate contracts and monitor budgets, working with the finance team.

Support event promotion through website updates, social media content and press releases.

Help prepare brochures, presentations and other event materials.

Complete risk assessments and ensure relevant health and safety requirements are met.

Gather feedback and contribute to post-event reviews to make the next event even better.

Provide administrative support to keep everyday operations running smoothly.
About You – Events Coordinator
You’ll have experience organising corporate events from initial planning through to delivery, including international events involving delegates and stakeholders from different countries. You’ll be comfortable managing suppliers, keeping an eye on expenditure and making sure the details are covered.
Just as importantly, you’ll be someone people enjoy working with. Confident, positive and proactive, you’ll build strong relationships and keep everyone informed without needing to be chased.

A good understanding of event health and safety requirements.

Confidence using Microsoft Word, Excel, PowerPoint and Outlook.

A calm, practical approach when plans change or problems need solving.

Reliability, discretion and the ability to work independently as well as within a team.
Experience within a membership association or another international organisation would be a welcome bonus.
