The role
The purpose of these roles are to provide administrative support to the Home Repairs Regulatory Team, supporting the accurate recording, processing and coordination of administrative activity linked to Awaab’s Law, HHSRS and Disrepair related work. The post holder will not hold case management responsibility and will work under the direction of the Home Repairs Regulation Team Leader and relevant officers
This role is part of Property where you'll help us to lead the way investing and maintaining 46,000 homes.
What you'll achieve
Provide administrative support for Awaab’s Law, HHSRS and Disrepair related activity, ensuring documents, correspondence, updates and supporting information are recorded accurately in line with agreed processes
Raise, amend and update work orders accurately using relevant systems, ensuring repair instructions include the correct property details, customer information, priority, access notes and work descriptions provided by the Home Repairs Regulation Team Leader or responsible officer
Undertake quality assurance checks on letters and customer correspondence before issue, ensuring information is accurate, clear, consistent, professionally presented and aligned to approved templates and available records
Prepare, send and record customer letters, emails and other correspondence within agreed timescales, ensuring communications are saved to the appropriate system location and shared with the Home Repairs Regulation Team Leader or responsible officer where required
Maintain accurate administrative records, ensuring actions completed, documents issued, appointments arranged, work order updates and supporting evidence are recorded clearly for audit and reference purposes
Support appointment and contractor administration by confirming access information, updating schedules, recording updates and sharing relevant information provided by colleagues or contractors
Monitor shared mailboxes, trackers and task lists, flagging new, urgent or overdue items to the appropriate colleague without making technical decisions or taking ownership of case outcomes
Assist with administrative activity linked to Disrepair claims by recording updates provided by colleagues, tracking agreed follow-up actions, preparing information packs where instructed and escalating missing or overdue information to the Home Repairs Regulation Team Leader or responsible officerWhat you'll bring
Essential skills
Experience of working in an administrative, customer service, repairs coordination or business support role, ideally within housing, property services, maintenance, compliance or a regulated service environment
Strong attention to detail, with the ability to quality assure letters, emails, records and work order information to ensure accuracy, consistency and professional presentation before issue
Ability to raise, update and monitor work orders using relevant systems, ensuring instructions, priorities, appointments, access details and completion information are recorded accurately from information provided
Good written communication skills, with the ability to prepare and issue clear, accurate and customer-focused correspondence in line with templates, agreed wording and required standards
Able to use Microsoft Office applications, shared mailboxes, spreadsheets, trackers and repairs or administrative systems to update information, track actions and support reporting activityDesirable skills
Experience of working within social housing repairs, planned maintenance, compliance administration or a similar regulated operational environment.
Awareness of Awaab’s Law, HHSRS, Disrepair, landlord repair obligations or the importance of timely communication and accurate administrative records within housing services.
