Responsibilities and duties of the Hire Coordinator role
Reporting to the Service Manager, you will:
Take full ownership of customer hire requirements, acting as the principal point of contact throughout the hire period.
Build positive and trusted customer relationships through exemplary customer care and proactive communication.
Coordinate the complete hire process, from enquiries and quotations through to delivery, installation, commissioning, extensions, exchanges, off-hire, collection and post-hire inspection.
Manage the hire fleet, ensuring equipment records are accurate and equipment is inspected, maintained, serviced, tested and repaired within required timescales.
Monitor fleet availability and utilisation, working to achieve and maintain a hire utilisation rate above 75%.
Coordinate fuel management, including monitoring fuel levels, arranging deliveries and maintaining accurate records and charges.
Coordinate replacement of faulty, damaged, lost or stolen equipment and provide customers with accurate information on associated costs.
Manage off-hire requests promptly and coordinate collections to minimise unnecessary hire periods.
Produce accurate and timely quotations, ensuring relevant equipment, delivery, installation, fuel, servicing and third-party costs are included.
Identify and maximise sales opportunities by informing customers about relevant company products and services.
Obtain and evaluate supplier quotations and maintain positive relationships with approved suppliers.
Raise purchase orders, order parts and equipment, and review third-party invoices for accuracy.
Prepare applications for payment and provide accurate information to support timely invoicing.
Monitor current and upcoming hires to support engineer resource planning, equipment availability and revenue forecasting.
Produce daily, weekly and monthly reports covering fleet availability, utilisation, equipment on hire, deliveries and collections, quotations, maintenance and hire revenue.
Provide customers and engineers with required documentation, including RAMS, equipment information and delivery documentation.
Provide general administrative and clerical support to the Service Department where required.
