Overview:
Our well-established Property Management group is recruiting a motivated and meticulous individual to join our Building Safety team.
In this vital role, you will provide high-quality administrative and coordination support to the Head of Building Safety. You will play a key part in the timely, accurate, and auditable management of Higher-Risk Building (HRB) compliance, documentation, and stakeholder communications while working alongside supportive, collaborative teams.
Duties Include:
Maintaining accurate, controlled, and auditable records for higher-risk buildings across internal databases, portals, and filing locations.
Supporting the preparation, indexing, checking, and upkeep of HRB registration files, safety cases, resident engagement documents, and compliance evidence.
Maintaining compliance trackers, action logs, and dashboards- monitoring progress, chasing outstanding actions, and highlighting overdue items.
Assisting with the onboarding and administration of higher-risk buildings on regulatory portals and internal systems.
Coordinating information requests between Property Managers, clients, consultants, and contractors, logging responses and following up on missing data.
Undertaking document quality checks, proofreading, and version control to ensure building safety information is clear, complete, and consistent.
Arranging meetings and compliance check-ins, preparing agendas, recording actions, and circulating notes.
Preparing standard correspondence, information requests, updates, and resident communications using approved templates.
Providing responsive, professional support to leaseholders, clients, and internal colleagues, escalating technical or high-risk matters appropriately.Experience & Skills Needed:
High level of accuracy and exceptional attention to detail when checking, processing, and recording data.
Strong organisational and time-management skills to multi-task, manage competing priorities, and meet deadlines independently.
Clear written and verbal communication skills to liaise professionally with leaseholders, clients, contractors, and internal teams.
Strong IT skills, particularly in Microsoft Word, Excel, and Outlook (experience with property management or document management systems like Dwellant is desirable).
High integrity and discretion when handling sensitive, personal, or safety-related information.
A customer-focused, flexible approach with the confidence to work independently and escalate issues when required.
