Experienced Probate Administrator Required
Please note: This role is suitable only for candidates with previous hands-on probate administration experience. Unfortunately, we are unable to consider applicants whose experience is limited to general administration, legal administration in other areas of law, or academic study without practical probate casework experience.
We are seeking an experienced and highly organised Probate Administrator to join our growing and established estate planning and probate team in Croydon.
This is an excellent opportunity for an individual who has already worked within probate and estate administration and is looking to further their career within a specialist and expanding business. We are looking for someone who can confidently manage probate matters, support clients through the estate administration process, and make an immediate contribution to the team.
Due to continued growth and increasing workloads, we require someone with genuine probate experience who can quickly become a valuable member of a busy probate department.
The Role
As Probate Administrator, you will be responsible for assisting with the administration of estates from initial instruction through to completion. You will manage a varied caseload of probate matters, liaise with clients and third parties, prepare documentation, and ensure cases progress efficiently and accurately.
This role would suit somebody who has previously worked in a solicitor's probate department, probate specialist firm, estate administration company, trust corporation, or will-writing business dealing with probate matters.
Key Responsibilities
Opening and managing probate files from instruction through to completion.
Gathering estate information and corresponding with banks, investment providers, pension companies, and other financial institutions.
Preparing probate applications and supporting documentation.
Assisting with inheritance tax reporting and related estate administration tasks.
Identifying and valuing estate assets and liabilities.
Liaising with executors, beneficiaries, financial institutions, utility companies, and professional advisers.
Maintaining accurate case notes and updating probate management systems.
Monitoring file progression and proactively chasing outstanding information.
Providing regular updates and excellent service to clients during what can be a sensitive and emotional time.
Supporting the wider team to ensure matters are progressed efficiently and professionally.
Essential Experience
To be considered for this position, you must have:
A minimum of 12 months' practical experience working within probate and estate administration.
Experience preparing Probate Registry applications and related documentation.
Experience dealing directly with executors, beneficiaries, banks, building societies, and other third-party organisations.
A good working knowledge of the probate and estate administration process.
Experience maintaining probate case files and managing multiple matters simultaneously.
Excellent organisational skills and attention to detail.
Strong written and verbal communication skills.Applications from candidates without practical probate administration experience are unlikely to be considered.
Desirable Experience
Experience using Exizent or similar probate case management software.
Knowledge of inheritance tax reporting and estate accounts.
Experience dealing with trusts and charitable legacies.
Previous employment within a solicitor's practice, probate specialist firm, trust corporation, or will-writing company.
STEP qualification or studying towards a relevant qualification.
