The Opportunity
We are currently recruiting for an experienced Office Administrator to join our client based in Dudley on a full-time, temporary-to-permanent basis.
This is an excellent opportunity for an experienced administrator who is looking for a long-term position with the potential to become permanent following a successful temporary period.
The successful candidate will be responsible for supporting the smooth and efficient running of the office, carrying out a variety of administrative and clerical duties and providing a professional first point of contact for incoming calls and general enquiries.
We are looking for someone who is organized, reliable, professional and confident working in a busy office environment. You will need to be comfortable managing multiple tasks, maintaining accurate records and prioritizing your workload effectively.
Previous office administration experience is essential for this role. Candidates must be able to demonstrate previous experience working within an administrative, clerical or office-based position.
Key Responsibilities
As an Office Administrator, you will be responsible for a wide range of day-to-day administrative duties, including:
Office Administration
Manage the day-to-day office operations, ensuring the office remains organized, efficient and professional.
Help maintain a professional, friendly and welcoming working environment for employees, visitors and external contacts.
Provide general administrative support to colleagues, management and other departments as required.
Assist with the smooth running of daily office activities.
Manage your own workload effectively and ensure administrative tasks are completed within required timescales.
Prioritize tasks according to business requirements and changing priorities.
Support the wider team with general office administration and ad-hoc duties.
Take responsibility for assigned administrative tasks and ensure they are completed accurately and efficiently.
Data Entry & Record Keeping
Carry out accurate and efficient data entry using company systems and databases.
Input, update and maintain information accurately.
Ensure company records are kept fully up to date.
Check information carefully for accuracy and identify any discrepancies or missing information.
Maintain spreadsheets, databases and administrative records.
Organize and maintain electronic and paper-based documentation.
Ensure documents are filed correctly and can be easily retrieved when required.
Handle confidential and sensitive information appropriately and in line with company procedures.
Telephone & Communication
Answer incoming telephone calls in a professional and courteous manner.
Provide a professional first point of contact for customers, suppliers, visitors and other external contacts.
Take accurate messages and ensure they are passed to the appropriate person promptly.
Direct incoming calls and enquiries to the relevant department or member of staff.
Deal with general enquiries professionally and efficiently.
Maintain excellent telephone etiquette at all times.
Communicate effectively with colleagues and external contacts both verbally and in writing.
Prepare and respond to correspondence, emails and other administrative communications as required.
General Clerical Duties
Complete general clerical duties including filing, photocopying, scanning and document preparation.
Prepare letters, correspondence, reports and other documentation when required.
Maintain organized filing systems.
Assist with printing, copying and distribution of documents.
Process general administrative paperwork accurately and efficiently.
Ensure documentation is completed and stored appropriately.
Assist with the preparation of information and documents for internal use.
Provide additional clerical support to the team when required.
General Support
Provide administrative assistance across the business as required.
Support colleagues with additional tasks during busy periods.
Assist with ad-hoc administrative projects and duties.
Respond positively to changing business requirements.
Help improve the overall efficiency and productivity of the office.
Work collaboratively with colleagues to ensure deadlines and objectives are met.
Carry out any other reasonable administrative duties requested by management.
