A successful property development business is looking to appoint a highly capable Executive Assistant to support its Managing Director.
This is not a basic diary management role; it's an 8.30 am start and a 5.30 pm finish, 5 days in the office.
It needs someone sharp, organised, discreet and confident. Someone who can keep pace with a busy senior leader, manage priorities before they become problems, and bring proper structure to a demanding working day.
The right person will have excellent judgement, strong communication skills and the confidence to deal with senior people in a calm, professional and effective way.
The role
You will work closely with the Managing Director, providing high-level executive support across diary and inbox management, meetings, communication, prioritisation, follow-up actions, and day-to-day coordination.
You will be trusted with confidential information and expected to deal professionally with internal colleagues, consultants, agents, solicitors, investors, landowners, contractors, tenants and other external contacts.
The role will also include a degree of personal administration and practical coordination linked to the Managing Director’s wider business and personal commitments. This may include diary-linked personal matters, family coordination, tenant-related communication, bookings, payments and other trusted administrative support.
This role will suit someone who enjoys being close to the decision-making centre of a business. You will need to be comfortable with pace, change, competing priorities and senior people who are short on time.
Key responsibilities
You will:
Manage the Managing Director’s diary, appointments, calls and meetings.
Manage the Managing Director’s email inbox, including flagging priorities and drafting responses where appropriate.
Coordinate internal and external meetings, including preparation, agendas, papers and follow-up actions.
Attend some meetings where required, taking notes or action points.
Act as a trusted point of contact for colleagues, professional advisers, consultants and external stakeholders.
Liaise professionally with commercial and residential tenants where required.
Interface appropriately with wider family members regarding the diary, appointments, bookings, and practical arrangements.
Handle confidential correspondence and sensitive business, personal and financial information.
Track priorities, deadlines and actions across multiple workstreams.
Prepare documents, notes, emails, meeting summaries and reports where required.
Support bookings, appointments, hotels, holidays and other practical arrangements where required.
Assist with basic accounts and payment administration, including invoices, expenses, supplier queries, personal payments, payment records and routine payment coordination.
Support routine payment reminders, including tax-related payments, under the direction of the Managing Director, finance support or external accountant.
Provide appropriate practical support for diary coordination, appointments, and day-to-day organisation.
Help maintain order, momentum and communication around the Managing Director.
Spot issues early and help prevent avoidable problems.
The person
We are looking for someone with real EA, PA, Private PA or senior administrative support experience, ideally gained in property, construction, housebuilding, professional services, investment, development, legal, finance or another demanding commercial environment.
Property experience is preferred, but not essential.
You should be:

Comfortable supporting a busy and demanding senior leader.
Able to handle business and personal administration with good judgment.
Numerate and comfortable with basic payment and accounts administration.

Clear in communication, both written and verbal.
Detail-focused without becoming slow or overcomplicated.
Commercially aware and interested in the business around you.
Reliable, switched-on and emotionally intelligent.
Willing to take ownership.

Experience supporting an owner, founder, Managing Director or entrepreneurial senior leader would be particularly useful.
Experience with property, tenants, basic accounts administration, invoices, expenses, supplier records, payments or trusted personal administration would also be helpful.
Location
The role is based in Edgbaston, Birmingham.
This is a full-time, office-based role with fixed working hours to be confirmed.
Candidates should live within a sensible commuting distance, ideally around 30 to 40 minutes of Edgbaston.
