Job Title
Site Administrator – Substation Projects
Job Purpose
The Site Administrator will provide comprehensive administrative, document control, and coordination support to Site Managers and project teams on substation construction sites. The role is critical to ensuring site operations run smoothly, documentation is accurate and up to date, and compliance with safety, quality, and client requirements is maintained.
Key Responsibilities
Site & Project Administration
Provide day-to-day administrative support to Site Managers
Maintain organised site records, logs, and filing systems (digital and hard copy)
Prepare, distribute, and track site documentation such as reports, permits, and notices
Assist with progress reporting and data collation for management reviewsDocument Control
Manage drawings, specifications, RAMS, permits, and technical documents
Ensure correct document version control and distribution on site
Support document uploads/downloads on client or internal systems
Track approvals, revisions, and document statusHealth, Safety & Compliance Support
Assist with site induction records and training matrices
Maintain site registers (visitor logs, plant registers, PPE records)
Support safety documentation including RAMS, permits to work, and toolbox talks
Help ensure compliance with project, client, and regulatory requirementsCoordination & Communication
Act as a key point of contact between site teams, head office, and subcontractors
Coordinate meetings, take minutes, and distribute action points
Assist with booking site logistics (accommodation, access, deliveries)
Support workforce administration including timesheets and attendance recordsCommercial & Procurement Support
Assist with raising purchase orders and tracking deliveries
Maintain records for invoices, cost tracking, and materials
Support subcontractor documentation Skills & Experience
Essential
Previous experience in a Site Administrator, Project Administrator, or similar role
Experience working on construction, utilities, or infrastructure sites
Strong organisational and administrative skills
Good understanding of document control processes
Proficient in Microsoft Office (Word, Excel, Outlook, SharePoint)
Strong communication skills and attention to detail
Ability to work independently in a site environmentDesirable
Experience on substation, electrical, or utilities projects
Familiarity with document control systems and client portals
Previous experience supporting site or project managersPersonal Attributes

Comfortable working in a fast-paced site environment

£14.00 per to £17.00 per hour depending on experience
