SUMMARY OF ROLE
Our client is seeking a Support Services Administrator to coordinate project activities, including both simple tasks and larger plans. You will manage schedules, arrange assignments, and communicate progress to all team members.
In this role, you will report directly to the Projects Co-ordinator and work closely with a team of Project Managers, so strong communication, workload management, and collaboration skills are essential.
The position involves managing, costing, and where applicable procuring materials and subcontractors to ensure jobs are completed efficiently and effectively. You will also proactively support the operational delivery team, including updating and renewing accreditations, booking training, monitoring the training matrix, and supporting wider administrative functions.
KEY RESPONSIBILITIES
Manage scheduling processes to maximise operational team performance
Ensure scheduling supports exceptional contract delivery
Ensure prompt resolution of queries
Promote and develop best practice
Act as a point of contact for operatives, clients, and customers
Provide two quotes per request to ensure effective job pricing
Source materials for engineers, ensuring delivery or collection near job locations
Raise purchase orders for all materials and equipment
Chase suppliers and resolve issues within 48 hours
Manage subcontractor and supplier database
Identify new suppliers when required
Raise and manage supplier invoice queries with accounts
Provide onboarding packs for new subcontractors and ensure compliance documentation is complete
Notify line manager of potential employee issues
Provide performance reports as required
Ensure compliance with health & safety and company policies
Input financial data into IT systems
Manage operational administration processes
Support operational teams to ensure contract compliance
Process and share information to progress work
Maintain correspondence, telephone, and email protocols
Manage contract paperwork and maintain accurate records
Create and update workflows
Prepare documentation for internal teams and stakeholders
Order resources such as equipment and software
SKILLS & KNOWLEDGE REQUIRED

Experience as an Administrator, or within Purchasing/Procurement, or similar role

Hands-on experience with technical documentation and scheduling

Knowledge of project management software (e.g. Microsoft Project)

Strong organisational and time-management skills

Knowledge of materials and methods used in the construction industry

Excellent written and verbal communication skills
QUALIFICATIONS REQUIRED

NVQ Level 2–3 in Business Administration

Advanced Microsoft Excel and Word skills
