Overview
We are seeking a highly organised and proactive Part-Time Personal Assistant to support senior team members within a fast-paced Global Investment Management firm.
This role provides essential administrative and organisational support to 4/5 senior leaders across the Legal and Product teams, including Heads of Department and Managing Director-level stakeholders. The ideal candidate will be accustomed to working within large corporate organisations and able to manage multiple stakeholder requests and priorities with accuracy and professionalism.
Key Responsibilities
Executive & Team Support
Provide comprehensive PA support to senior team members to enable them to operate efficiently and effectively.
Manage multiple complex diaries, ensuring seamless travel scheduling across global time zones.
Arrange regular global travel, including flights, hotels, visas, itineraries, and cross‑timezone scheduling.
Coordinate small and large-scale meetings with internal and external stakeholders.
Book meeting rooms, organise catering/refreshments, and ensure all logistics run smoothly.Administrative Tasks
Prepare, print, and organise legal documents in a timely manner, ensuring sign‑off processes are completed accurately.
Maintain and update Excel spreadsheets with high attention to detail.
Prepare occasional PowerPoint presentations as required.
Process expenses and provide general administrative support across the team.Skills & Experience Required
Strong experience supporting senior leaders in a large corporate environment.
Proven ability to manage multiple complex diaries and international travel arrangements.
Excellent organisational skills with a high level of attention to detail.
Proficient in core Microsoft Office applications (Outlook, Excel, PowerPoint, Word).
Confident communicator with the ability to liaise professionally with stakeholders at all levels.
Ability to work proactively, handle competing priorities, and deliver to tight deadlines.
Previous legal PA experience is beneficial but not essential.Personal Qualities
