About the Role
We are currently seeking an experienced and highly organised Executive Assistant to join a busy Negotiating Team. This is an exciting opportunity to provide high-level administrative support to senior officers, helping them operate efficiently while contributing to a collaborative and fast-paced working environment.
Reporting to the National Secretary / Assistant Secretary, you will play a key role in ensuring the smooth running of day-to-day operations, with a strong focus on teamwork and delivering organisational objectives.
Key Responsibilities
Manage complex scheduling and diary coordination for senior officers
Draft, review and send communications on behalf of officers
Organise and support meetings, including preparation of documents and logistics
Act as a first point of contact for calls and enquiries, relaying key information
Manage and prioritise inboxes, responding where appropriate
Coordinate travel arrangements and itineraries
Maintain accurate records, files and documentation
Ensure the Case Management System is up to date and accurate
Liaise with internal teams regarding progress on legal cases, campaigns, ballots and activities
Support the efficient running of office processes and procedures
About You
We're looking for someone proactive, detail-oriented and confident in managing a varied workload. You'll be comfortable working independently while building strong relationships across teams.
Essential Experience:
Previous experience in an administrative or Executive Assistant role
Diary management and travel coordination experience
Handling confidential information and understanding GDPR compliance
Strong data entry and record-keeping skills
Experience liaising with stakeholders or customers
Ability to manage workload independently and work proactivelyDesirable:
Experience within a Trade Union or membership organisation
