Role Details

Provide complex diary and inbox management for Senior Civil Servant(s), balancing competing priorities to maximise available time, de-conflict appointments, and rearrange schedules, sometimes at short notice.

Prioritise emails for Senior Civil Servant(s)a nd provide high-quality correspondence.

Organise meetings, visits and other engagements with both government and external stakeholders.

Arrange travel for the Senior Civil Servant(s), ensuring all expenses policies are adhered to and an effective itinerary is provided.

Provide secretariat support the directorates’ private offices, including preparing agendas, handling minutes and ensuring actions are followed up on.

Maintain an electronic filing system, ensuring processes are up to date and in working order, handling sensitive information discreetly and in accordance with official guidance.

Develop deep understanding of Senior Civil Servant(s) priorities to effectively flag emerging issues they should be aware of, and act where necessary to support.

Assist with business support functions, e.g. managing external stakeholder communications, helping to organise team away days, supporting on recruitment and onboarding of new staff.

Experience of working with senior leaders in a high-profile working environment

Ability to organise a daily workload by priorities and able to meet deadlines in a fast-paced, dynamic environment

Demonstrable administration and support skills, with strong attention to detail

Excellent written and verbal communication, with the ability to communicate concisely and coherently to a wide variety of audiences

Demonstrable experience of handling sensitive information, displaying tact and diplomacy and maintaining confidentiality

A proactive approach to problem-solving with strong decision-making skills
