Working directly with the Event Director and Producer, helping to bring large scale international conferences in the downstream oil and gas sector to life. From pre-event planning to on-site execution, you will be at the heart of the action, supporting critical production and operational functions as part of a collaborative, high performing team. Role Overview
The Events Assistant supports the operations and production teams with the planning, coordination, and delivery of B2B industry conferences from concept through to post-event reporting. The role involves event logistics, database management, research, and coordination with speakers, sponsors, and delegates to ensure high-quality and well-executed conferences.
Event Planning & Logistics

Assist in the planning and delivery of B2B industry conferences

Help coordinate event logistics including venue, catering, AV, delegate registrations, and communications

Research, negotiate, source and manage onsite materials and suppliers

Assist the wider team with any other general admin as needed, including ad hoc tasks as required
Research & Content Support
- Conduct research with potential speakers, sponsors, delegates, venues, suppliers, and industry trends
Database & Systems Management

Maintain and update event databases and CRM systems with accurate delegate, speaker, and sponsor information

Manage the registration of delegates, speakers, and sponsors
Speaker & Sponsor Coordination

Manage speaker and sponsor information, including bios, presentation materials, and promotional content

Ensure sponsor deliverables and event visibility requirements are met according to contracts

Coordinate pre-event and post-event communications with all delegates and attendees
Skills & Experience

1-2 years’ experience in B2B conferences
-
Strong organisational and project management skills
-
Experience managing databases or CRM systems
-
Excellent research and information-gathering abilities

Strong written and verbal communication skills
-
Ability to manage multiple tasks and deadlines in a fast-paced environment

Competence in Microsoft Office (Word, excel, SharePoint, PPT) and keen to embrace and learn to use new technology and IT systems including Canva, automated marketing and CRM system

Education
