IFA Administrator – City of London

A well-established financial planning firm based in the City of London is looking to appoint an experienced IFA Administrator to join its growing client services team.
This firm provides comprehensive financial planning and investment advice to private clients. Their approach combines strategic financial planning with sophisticated investment management, supported by clear reporting and a transparent fee structure.
You’ll be joining a collaborative team where high standards of client service and attention to detail are central to everything they do.
The Role
Working closely with advisers and paraplanners, you will provide administrative support to ensure clients receive a smooth and professional experience throughout their financial planning journey.
Key Responsibilities

Preparing client valuations and portfolio summaries

Contacting product providers to obtain plan information, illustrations and supporting documentation

Arranging client review meetings and supporting the preparation of review documentation

Monitoring new business, transfers and investment transactions with providers and the internal implementation team

Maintaining accurate client records within the back-office system (Xplan)

Ensuring client files remain compliant and up to date, including AML documentation

Assisting with the preparation of client tax packs including consolidated tax certificates and capital gains information

Supporting the client onboarding process including Letters of Authority and verification checks

Preparing and distributing client reports and documentation

Managing adviser diaries and coordinating client meetings

Following internal procedures and maintaining regulatory compliance
About You
To be considered you should have around 1-2 years’ experience working within financial services administration, ideally within an IFA or wealth management environment
