Anderson Knight is delighted to be recruiting a professional and personable Legal Front of House Assistant on behalf of a well-established law firm based in Edinburgh.
This is an excellent opportunity for an experienced office professional with prior experience within a legal environment to join a respected firm where client service and professionalism are paramount. The successful candidate will bring a strong understanding of how a busy legal office operates, alongside the confidence and discretion required when working with clients, solicitors, and senior stakeholders.
The role:

Provide a warm, professional welcome to all visitors, both in person and by telephone.

Confidently manage incoming calls, introducing callers and transferring them to the appropriate colleague.

Arrange couriers and taxis, ensuring all details are recorded accurately.

Coordinate meeting room bookings, confirming attendee numbers, room layouts, catering, and IT/equipment requirements.

Manage the visitor log and issue/collect visitor and access passes promptly.
-
Report lost access passes to IT and the Facilities Manager without delay.

Ensure reception and client meeting rooms are consistently tidy, welcoming, and well-presented.

Monitor and replenish catering supplies in meeting rooms and kitchens.

Report any maintenance issues promptly to the Facilities Manager to ensure swift resolution.

Escort and manage contractors while on site and carry out regular Health & Safety checks as advised.

Open, scan, and distribute incoming mail promptly to relevant fee earners and support teams.

Prepare outgoing mail accurately, ensuring it is processed and ready for collection on time.

Assist with copying, printing, scanning, binding, filing, and updating Counsel Papers as required.

Support file archiving and scanning into the firm’s records management system.

Assist with general office tasks including hand deliveries/collections, court runs, replenishing office supplies, and supporting wider office needs.

Order and maintain stationery and office supplies.

Arrange corporate travel, accommodation, and course bookings.

Provide flexible support with ad hoc reception, administration, and facilities duties as required.

Build and maintain positive working relationships with colleagues in the Edinburgh office and across the wider firm.

Demonstrate a proactive, positive attitude with strong communication skills.

Effectively prioritising competing deadlines while maintaining exceptional quality of work.

Gaining a strong understanding of the different working styles and requirements across teams.
Essential:

Previous experience within a legal sector role.

Strong IT skills, including Microsoft 365.

A proactive team player.

Excellent interpersonal, written, and verbal communication skills.

High attention to detail with the ability to produce accurate, high-quality work under tight deadlines.
