Executive Assistant
The Opportunity
We are delighted to be partnering with a fast-growing, technology-led organisation based in Birmingham to appoint an exceptional Executive Assistant.
Our client is an ambitious and innovative business operating within the transportation sector. Over the past decade, they have achieved impressive organic growth and are now entering an exciting new phase.
This is a high-impact, highly visible role, offering exposure to the CEO, Board, and Executive team at a pivotal stage in the company’s journey.
The Role
This is far more than a traditional EA position. You will act as a true extension of the CEO and Executive Team, playing a critical role in ensuring the smooth and efficient running of the business.
The role is expected to include approximately:

30% Board & Executive support

40% Line activity (aligned to your strengths – e.g. HR, marketing, customer support)

30% Project-based work
The position will be shaped around your skill set and interests, offering genuine breadth and development.
Key Responsibilities
Executive Support
-
Act as a trusted partner to the CEO and Executive Team
-
Make informed decisions in their absence
-
Liaise confidently with the Board
-
Manage complex diaries and coordinate travel
-
Attend key meetings, take high-quality notes and contribute where appropriate
-
Handle sensitive information with absolute discretion
-
Provide flexible support beyond standard hours when required
Event & Meeting Coordination

Plan and deliver Board meetings, company-wide events, offsites and leadership sessions

Manage end-to-end logistics, stakeholder communications and supplier coordination
-
Oversee on-the-day execution to ensure seamless delivery
Recruitment & Business Support

Support recruitment activity including screening calls and interview coordination
-
Maintain talent pipelines (particularly within sales functions)
-
Assist with onboarding processes and system updates
-
Maintain accurate recruitment documentation and records
-
Contribute to wider business initiatives and cross-functional support
About You
You will bring:

Previous experience in an Executive Assistant, Personal Assistant or senior administrative role

Outstanding organisational skills with the ability to manage multiple priorities

Strong diary, travel and meeting management experience

Excellent written and verbal communication skills

Experience supporting recruitment processes (desirable)

Absolute discretion when handling confidential information

A proactive, solutions-focused mindset

Strong attention to detail

Confidence using Microsoft Office (Outlook, Word, Excel, PowerPoint)

Experience using HRIS/ATS systems (advantageous)

The ability to work independently and adapt in a fast-moving environment
