Customer Service Assistant

The Role
An established organisation based in Tyldesley is seeking a capable and organised Customer Service Assistant to join their team on a three month temporary contract.
This position plays an important part in ensuring customer operations run smoothly. You will focus on accurate order processing, forward planning of despatches and clear communication around shipments. By taking ownership of structured, process led tasks, you will enable the wider Customer Service team to concentrate on managing key accounts and more complex customer requirements.
This role would suit someone who enjoys working methodically, takes pride in accuracy and understands the importance of getting the detail right.
Key Responsibilities
Order Management and System Processing
Accurately enter and manage customer orders within CRM and ERP systems
Validate part numbers, quantities, delivery dates and pricing before release
Despatch orders in the CRM using correct bundle configurations to maintain stock accuracy
Load confirmed orders into the relevant planning system two weeks prior to the requested delivery date to support production planning
Maintain accurate system data and ensure full control of the order lifecycle
Pricing and Governance
Apply customer pricing using official price lists
Cross check all order lines to ensure billing accuracy
Escalate any pricing discrepancies before order confirmation
Forward Logistics Planning
Prepare picking lists for orders due to ship two weeks in advance
Upload picking lists into the warehouse management system to support timely fulfilment
Monitor shipment readiness against delivery dates
Identify potential risks early and raise concerns where required
Logistics and Despatch Coordination
Coordinate physical despatch from site and warehouse
Generate and upload despatch notes immediately upon shipment
Issue formal despatch documentation to customers without delay
Obtain and communicate tracking numbers proactively
Ensure alignment between CRM records, warehouse systems and physical shipments
Supply Chain Liaison
Work closely with the Purchasing department on airfreight bookings and urgent shipments
Maintain clear communication between Customer Service, Warehouse and Purchasing
Escalate urgent matters to prevent disruption to customers
Customer Communication
Provide proactive shipment confirmations and tracking updates
Share picking lists and relevant documentation when required
Maintain clear visibility of shipment status
Ensure there are no communication gaps following despatch
Administration and Audit Support
Maintain accurate digital and physical filing of order documentation
Support the retrieval of records during audits
Uphold strong document control and version accuracy
Contribute to improvements that enhance service quality and operational efficiency
About You
1 to 2 years experience in Customer Service or Order Processing
Comfortable working with ERP systems and warehouse management platforms
Confident using Microsoft Excel
Strong attention to detail, particularly when validating pricing
