Key Responsibilities:
As a Conveyancing Secretary, you will play an essential role in supporting the fee earner and ensuring the smooth operation of the conveyancing process. Your day-to-day activities will include:
Secretarial Support: Provide efficient audio and copy typing of documents using TFB Partner for Windows or other relevant software.
Client Interaction: Answer telephone calls and handle personal inquiries from clients and other parties, recording messages accurately and ensuring follow-up actions are completed effectively.
Mail Management: Collect and sort the post each morning, ensuring correspondence is linked to the appropriate files before delivering it to the fee earner. Timely dispatch of outgoing mail is also crucial.
Filing and Documentation: Maintain organized paper files and the case management system, ensuring all documentation is up-to-date.
Administrative Tasks: Open new files, perform copying tasks, and assist with any administrative duties as required.
Reception Cover: Provide cover for the Reception desk when needed, showcasing your versatility.
Team Support: Assist other secretarial staff as capacity allows, ensuring seamless communication and collaboration within the office.What We're Looking For:
To excel in this role, you should possess the following skills and attributes:
Proven experience as a secretary or in a similar administrative role within a law firm, ideally in conveyancing.
Excellent typing skills and proficiency in using legal software.
Strong communication skills to interact effectively with clients and team members.
Exceptional organisational skills and the ability to prioritise tasks.
A commitment to maintaining a high standard of personal conduct and professionalism.
