We are seeking an administrator for a short term temporary role
greet and welcome visitors, clients and employees with a professional, helpful and friendly demeanour
Answer incoming phone calls via Teams, screen and direct to the appropriate department/individual
Perform general administrative duties and provide support across the office
Issue access cards to staff/visitors as required and manage the access control system
Maintain visitors and staff logs and ensure compliance with security procedures.
Handle incoming mail and distribute to relevant department
Preparation & handling of all outgoing post (including recorded or special delivery), maintaining and ordering supplies for the franking machine
Booking couriers and arranging taxis for staff/board members/visitors as necessary
Provide basic and accurate information in-person or via phone/email in a timely manner
Manage meeting room calendars, liaising with staff about changes and guests
Set up meeting rooms (providing refreshments and general housekeeping) and tidy up
Manage the archiving process, with third party, including records storage, appropriate record-keeping, document retrieval and document destruction
Ensure stationery and kitchen/catering supplies are ordered and maintained and replacement thereof, including printing paper supplies
Emergency response procedures and ad-hoc responsibilities will be discussed in depth on successful selection for the vacant position
