About the Role
The Assistant Plan Coordinator supports the Local Authority in fulfilling its statutory duties for children and young people with Special Educational Needs (SEN). The postholder manages casework, supports the Early Help Team, and ensures Education, Health and Care Plans (EHCPs) are issued and maintained in line with legal requirements.
Key Responsibilities
Support implementation of statutory duties relating to issuing and maintaining EHCPs.
Respond to customer enquiries (including emotive or sensitive cases) across all communication channels, following the SEND Code of Practice and safeguarding procedures.
Deliver accurate information, advice and guidance to internal and external stakeholders regarding statutory SEN processes.
Promote digital transformation by encouraging use of the Council’s online portal and reducing paper‑based applications.
Prepare for and administer statutory assessment panels, including case tracking, agenda production, minute‑taking and dissemination of actions.
Order goods and services through procurement systems and manage financial queries in line with Council regulations.
Assist with documentation preparation for statutory panels, appeals and tribunals.
Handle complaints and challenging customers professionally, demonstrating resilience, diplomacy and strong decision‑making.
Contribute to service development, continuous improvement and team objectives.
Support and process applications for needs assessments, quality‑check submissions, and communicate outcomes within statutory deadlines.
Build and maintain constructive working relationships with colleagues, external partners, elected members and the public.
Research, compile and analyse data, producing reports, statistical returns and information for subject access requests.
Prioritise workloads, manage conflicting demands and maintain performance expectations.
Input, maintain and check electronic data ensuring accuracy and confidentiality.
Undertake any other duties appropriate to the grade.Experience & Knowledge
Education & Training
Relevant Level 3 qualification or equivalent.
Training and proficiency in Microsoft Office.Relevant Experience
Experience working with legal or statutory processes and deadlines.
Experience within local government or a large organisation.
Handling confidential, sensitive or contentious information.
Communicating effectively with a wide range of people, including the public.
Managing demanding workloads and meeting strict deadlines.
Providing advice, support and guidance.
Maintaining accurate records and undertaking data analysis.
Producing reports or statistical information.General & Special Knowledge
Understanding of national and Local Government services and policies.
Strong digital skills and confident use of computer systems, including Microsoft Office.
Knowledge of the Data Protection Act and principles of confidentiality.
