Key Responsibilities
Administration
Provide high‑quality administrative support across the department.
Assist with presentations, meetings, careers events, and other activities.
Maintain accurate trainee databases and personnel records.
Help develop and improve administrative processes and best practices.Training Coordination
Build positive relationships through clear communication and strong customer service.
Develop an understanding of client requirements and training processes.
Respond quickly and professionally to client and trainee queries.
Coordinate availability for exams, courses, and appointments.Documentation & Compliance
Process applicant and trainee documentation ahead of training start dates.
Manage visa applications, embassy appointments, and medical/vaccination requirements.
Apply for flagged state documentation.
Ensure full compliance with ISO 9001 and GDPR.Logistics & Travel
Book domestic and international travel and accommodation.
Schedule appointments relating to visas, medicals, and other essential checks.
Maintain accuracy, confidentiality, and strong health & safety standards.
Candidate Requirements
Essential
Strong general education (Standard Grade or equivalent).
Ability to maintain confidentiality and comply with GDPR.
Clear, confident communication skills.
Professional and personable telephone manner.
Strong team player with a positive attitude.
High attention to detail and a methodical approach.
Ability to work under pressure.
Flexible, reliable, and adaptable.Desirable
HNC/HND in Business Administration or similar.
Experience in a busy office environment.
Experience improving administrative procedures.
