Job Description
Job Title: Business Support Assistant
Department: Skip Hire / Waste Management Recycling
Reports to: Business Manager
Location: Office-based with operations liaison
Employment Type: Full-time 8am to 5pm
Job Summary
The Business Support Assistant provides comprehensive administrative, systems, reporting, and client-support functions across the skip hire and waste management/recycling divisions. The role is central to improving operational efficiency, document control, compliance readiness, client experience, and commercial visibility, while supporting the business’s transition toward structural digital systems and online platforms.
Key Responsibilities
Business, Reporting & Revenue Support

Prepare and maintain internal and client-facing reports, including service activity, recycling breakdowns, and performance summaries.

Assist with revenue analysis, identifying variances, missed charges, and anomalies for management review.

Support invoice back-up and audit trails by ensuring accurate documentation (PODs, WTNs, Weighbridge data, service confirmations).
Systems, Document Control & Digital Platforms

Create, implement, and maintain structured systems for document control and records management across the business.

Support the development, rollout, and ongoing administration of an online document management platform (e.g. SharePoint or equivalent).

Establish and maintain consistent filing structures, naming conventions, version control, and access permissions.

Drive the transition from manual or fragmented record-keeping to a centralised, auditable digital system.

Ensure documents are current, traceable, and readily accessible for operational use, audits, and compliance purposes.

Identify gaps, inefficiencies, and improvement opportunities within existing systems and processes, escalating recommendations to management.

Support user adoption through clear guidance notes, templates, and process documentation.
Administrative & Secretarial Support

Provide diary management, meeting coordination, and general administrative support to senior management.

Draft, format, and maintain internal documents, guidance notes, procedures, and client correspondence as required.

Maintain structured electronic filing and ensure confidentiality and data protection standards are upheld.
Compliance & Operational Support

Support the preparation, collation, and maintenance of compliance documentation (e.g. Environment Agency, ISO, training records).

Assist with data collection for audits, internal reviews, and regulatory submissions.

Support the implementation and upkeep of standard operating procedures across service and support functions.
Client Engagement, Feedback & Service Development

Proactively contact clients to obtain feedback on service delivery, responsiveness, and overall satisfaction.

Record, analyse, and report client feedback to management, identifying trends, risks, and opportunities for improvement.

Support client retention by ensuring feedback is acknowledged, and actions are tracked through to resolution.

Canvass clients on additional services the company can offer, aligned to their operational needs (e.g. additional waste streams, container types, recycling solutions, ad-hoc services).

Identify opportunities for service expansion and cross-selling, escalating qualified leads to management or the relevant commercial contact.

Maintain accurate records of client engagement and outcomes within internal systems.
Procurement & Coordination Support

Assist with procurement administration, including order tracking, supplier liaison, and documentation collation.

Maintain supplier records, certifications, and supporting documentation where required.
Skills & Experience
Essential:
Strong administrative and organisational skills with excellent attention to detail.
Confident user of Microsoft Office (Excel, Word, Outlook, Teams, SharePoint).
Ability to manage multiple priorities in a fast-paced, operational environment.
Clear written and verbal communication skills.
Desirable:
Experience within waste management, recycling, logistics, or construction-related sectors.
Experience supporting reporting, systems implementation, or compliance environments.
Familiarity with audits, document control, or regulated industries.
