Role Summary
The Tenancy Termination Officer is responsible for supporting and managing tenancy terminations in line with company procedures. The role focuses on accurate administration, system updates, tenant communication, and coordination with internal teams to ensure tenancies are closed efficiently and deposits are released correctly. This role operates under guidance from senior team members and follows established processes.
Key Responsibilities
Tenancy Termination Administration
• Process standard tenancy terminations in accordance with company procedures
• Receive notices to terminate from tenants or internal departments and action accordingly
• Send acknowledgement emails and check-out guidance
• Update tenancy statuses accurately
• Ensure end dates and move-out dates are recorded correctly
• Mark properties as available to let when required
• Maintain internal trackers and records
• Book check-out inspections with appointed inspection providers
• Raise Fixflo work orders as instructed
• Assist with the deposit release process following tenancy termination
• Liaise with Credit Control to confirm outstanding arrears
• Send deduction notifications to tenants using approved templates
• Track tenant responses within agreed timeframes
• Support Property Managers with deposit release requests
• Issue confirmation emails and attach required documentation Skills & Experience
Required Essential
• Previous experience in an administrative or property-related role
• Strong organisational and time-management skills
• Good written and verbal communication skills
• High attention to detail
• Ability to follow processes and work to deadlines
• Confident use of IT systems (Arthur experience desirable)
