HR Administrator (permanent role)
- Salary: £28,000 per annum (Full-time Equivalent)
- Part-time Hours: 20-25 hours per week (core hours between 8.30 am–5pm
- Hours worked over 3-4 days (TBA)

Overview:
A long‑established organisation is seeking a highly professional and discreet HR Administrator to join its head office team in Luton. This part‑time, permanent position offers an excellent opportunity for an organised and motivated individual to support a busy HR function, with a particular focus on managing high‑level security clearances across the organisation.
Working closely with the HR team, the post holder will provide confidential administrative support across all areas of HR. A significant element of the role involves coordinating government, police, aviation and airport‑security vetting processes. The ideal candidate will be methodical, self‑motivated and able to communicate confidently with staff at all levels as well as external regulatory and vetting bodies.
Key Responsibilities:
The HR Administrator will support the wider HR team through duties including, but not limited to:
- Managing end‑to‑end high‑level security vetting processes, including applications, renewals, compliance checks and secure document handling.
- Liaising with external authorities such as government vetting agencies, police, airport security bodies and regulatory partners.
- Ensuring all security and clearance records remain accurate, confidential and compliant with legal and regulatory requirements.
- Supporting the full employee lifecycle, including recruitment, onboarding, contract preparation, contractual changes and leaver processes.
- Maintaining accurate HR records, personnel files and HR systems with a strong focus on data protection and confidentiality.
- Coordinating training activities, booking courses and maintaining training and compliance records.
- Providing administrative support for employee relations meetings, including scheduling, documentation and minute‑taking.
- Maintaining absence, sickness and holiday records and preparing reports as required.
- Assisting with payroll administration, benefits and pension documentation.
- Supporting HR compliance activities such as right‑to‑work checks, DBS checks and regulatory obligations.
- Providing confidential administrative support to the HR function.
- Assisting with HR projects, system improvements and policy development.
- Supporting the organisation of staff events, inductions and internal communications.
Candidate Requirements: HR Administrator
- Strong administrative experience with excellent accuracy and attention to detail.
- Proficiency in Microsoft Office applications.
- Excellent communication and organisational skills.
- Experience handling confidential and sensitive information.
- Previous security‑clearance administration experience (desirable but not essential).
- A solid understanding of data protection, compliance and confidentiality requirements.
- A discreet, professional and well‑presented approach, with the ability to work effectively in a fast‑paced, close‑knit team.
