Hours: 40 hours per week (8:30am–5:00pm, 8:00am–4:30pm Fridays), 52 weeks per year
About the Role
Eleven 11 Recruitment is recruiting on behalf of our client for a Timetabling Assistant to join their Education Services team. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and is committed to delivering a high-quality, young-person-focused service.
You will play a vital role in ensuring the tuition and education provision runs smoothly by coordinating timetables, communicating effectively with families and tutors, and supporting the wider education team to deliver a responsive and efficient service.

Qualifications & Experience
Essential:
• NVQ Level 2 (or equivalent) in Business Administration, Customer Services, or a relevant subject
• Experience working in an administrative role
Desirable:
• Experience within an education or alternative education environment
• Knowledge of safeguarding responsibilities
• Understanding of GDPR and confidentiality requirements
Knowledge & Skills
• Ability to produce clear, professional documents and emails
• Excellent attention to detail and ability to manage competing priorities and deadlines
• Confident and professional telephone manner
• High standard of written English (grammar, spelling, and sentence construction)
• Strong IT skills, including Microsoft Office
• Ability to plan, prioritise and manage workload effectively
• Desirable: ability to design and manage spreadsheets/databases and identify anomalies or issues

Key Responsibilities
• Schedule and manage regular sessions for young people and tutors
• Adapt timetables in response to changes, cancellations and availability
• Maintain oversight of tutor availability and pupil attendance
• Arrange cover where required and update schedules accordingly
• Communicate changes clearly and confidentially to tutors and families
• Provide relevant case information to covering tutors where appropriate
• Maintain accurate pupil records within the internal MIS system
• Add, update and manage documentation in line with data protection requirements
• Acknowledge, record and securely file key documents
• Develop a strong understanding of the service to respond to queries effectively
• Respond to internal and external queries promptly and professionally
• Contribute to team meetings and collaborative problem-solving
• Provide cover for timetabling colleagues when required
