SUMMARY
If you answered yes, we're looking for you. We are seeking an exceptional Senior Executive Assistant to provide high-level strategic support to my client's Managing Director. This is a pivotal role for someone already operating at EA level – someone commercially astute, strategically minded, and capable of making autonomous decisions on behalf of the MD. You will be a trusted business partner who can manage the MD's inbox, liaising with external stakeholders and internal teams with authority and discretion. You must be equally comfortable navigating complex business matters as you are rolling your sleeves up to support day-to-day operations and business needs – whether that's warehouse support, logistics, or problem-solving on the fly.
This role demands someone who thrives in a dynamic environment, brings strategic thinking to operational challenges, and combines boardroom professionalism with genuine flexibility and pragmatism.
KEY RESPONSIBILITIES
Strategic Executive Support
Manage the MD's calendar, correspondence, and stakeholder relationships with complete autonomy and commercial judgment.
Share the MD's inbox – screening, prioritising, and handling communications with the authority to make decisions and respond independently where appropriate.
Prepare for and support board-level meetings, including agenda-setting, stakeholder management, and follow-up.
Provide market insight and commercial awareness to support MD decision-making.
Act as a trusted advisor and sounding board on business matters, bringing strategic thinking to operational challenges.
Business Management & Problem-Solving
Anticipate business needs and proactively manage the "chaos" – identifying issues before they escalate and implementing pragmatic solutions.
Support key business functions across the organisation, including warehouse operations, logistics, and operational support as needed.
Liaise with suppliers, vendors, and internal departments to drive efficient delivery of services and resolve issues swiftly.
Manage travel, accommodation, and logistics with commercial awareness (cost-effectiveness, timing, strategic value).
People & Stakeholder Management
Build and maintain relationships with internal teams and external clients/partners, acting as a point of contact with authority and professionalism.
Support team coordination and project delivery where required.
Demonstrate exceptional interpersonal skills – professional yet personable, able to influence and communicate at all levels.
Office Operations & Compliance
Oversee office management, systems, and compliance – ensuring confidentiality, data protection, and regulatory requirements are met.
Implement and maintain document management systems, ensuring security and accessibility.
Manage office logistics, supplier relationships, and operational efficiency.
QUALIFICATIONS & REQUIREMENTS
Proven track record as a Senior Executive Assistant or equivalent – someone already operating at this level.
Commercial acumen and business awareness – you understand business dynamics and can contribute strategically.
Exceptional stakeholder management and people skills – able to influence and build relationships at all levels.
Autonomous decision-maker with strong judgment and discretion.
Proactive problem-solver who anticipates needs and takes ownership of solutions.
Highly organised with meticulous attention to detail, particularly around confidential and sensitive matters.
Proficient in Microsoft 365 and business systems.
Genuine flexibility and pragmatism – prepared to "muck in" across any business need, from strategic support to warehouse operations.
Complete reliability and follow-through on delegated matters.
DESIRABLE
Experience in fast-paced, entrepreneurial environments.
Understanding of commercial/operational business models.
