The successful candidate will oversee the day-to-day management of facility operations, vehicle maintenance, technician scheduling, equipment logistics, and administrative tasks. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple responsibilities efficiently. They will ensure that all field operations, from office maintenance to on-site installations, are executed smoothly, supporting both internal teams and client needs.
Key Responsibilities
Facility & Equipment Management
- Office Moves & Maintenance : Coordinate office moves, including furniture relocation, and manage any repair or maintenance needs with TSA, including blinds, air conditioning, lighting, and furniture.
- Cleaner Supervision : Oversee cleaning staff and ensure that all cleaning supplies are regularly stocked.
- DC Maintenance : Maintain cleanliness and functionality in the Data Center (DC), order sticky mats, and arrange regular cleaning.
- Generator & Chiller Checks : Schedule standby personnel for generator checks and monthly chiller cleaning around the 20th of each month.
- Printer Management : Ensure printers are operational and order cartridges as needed.
Logistics & Collections
- Collection Management : Coordinate the collection of equipment from service providers, manage cancellations, and arrange grocery purchases for ICTGlobe kitchens.
- Vehicle Management :
- Conduct weekly vehicle inspections, reporting any damages or issues and logging inspections and odometer sheets.
- Oversee vehicle license renewals, claims, and accident management.
- Arrange vehicle branding with Graffiti, including scheduling technicians for vehicle drop-off and pickup.
- Schedule vehicle servicing, coordinating with VW or Hyundai, and ensure collection and return of serviced vehicles.
Inventory & Stock Control
- Monthly Stock Take : Perform monthly inventory counts in the storeroom, maintaining accurate records and updating procurement on stock levels.
- Equipment Distribution : Issue storeroom items as requested by team members and maintain accurate records for inventory control.
- Stationery & Equipment : Monitor stationery and equipment needs, ensuring adequate stock levels and reordering as necessary.
Client & Technician Coordination
- Appointment Scheduling : Handle all Data Center (DC) appointments and coordinate with clients for access, including managing OADC scheduling and access codes.
- Ticket Assignment : Manage Aluxium tickets for configuration, installation, and support requests, assigning tasks to the appropriate team members and technicians.
- Technician Scheduling : Ensure technicians have required certifications (High Site, medicals) and that proper equipment and POs are in place before scheduling.
- Client Communication : Arrange appointments with clients, communicate any delays, and provide updated schedules.
Administrative Duties
- Petty Cash Management : Request and manage petty cash for minor technician expenses, maintaining accurate records.
- Timesheet & Ticket Updates : Ensure technicians complete timesheets and update tickets, requesting any missing information as needed.
- Subcontractor Coordination : Identify and manage subcontractors for out-of-province installations, including quoting, scheduling, and follow-up on completed work.
- Documentation : Maintain accurate documentation for all tasks, including equipment issuance, vehicle inspections, and updates in Bookstack for completed jobs.
Travel & Accommodation
- Travel Arrangements : Arrange flights, accommodations, and vehicle rentals for technicians traveling to other provinces, coordinating closely with the booking team to ensure logistics and cost-efficiency.
Requirements
Skills & Qualifications
- Experience in field operations, logistics, or facilities management preferred.
- Strong organizational skills to manage multiple tasks and responsibilities.
- Excellent communication and interpersonal skills for coordinating with team members, clients,and subcontractors.
- Attention to detail in managing inventory, scheduling, and documentation.
- Proficiency in administrative software (e.g., Lucid) and ticketing systems.
