Job Description
Administers the receiving, capturing and distribution of all samples to ensure correct information is obtained and recorded and to facilitate the speedy processing of samples in the terms of service objectives.
Key Performance Areas
- Coordinate office activities and operations to secure efficiency and compliance to company policies.
- Manage phone calls and correspondence (e-mail, letters, packages etc.).
- Track stocks of office supplies and place orders when necessary.
- Assist colleagues whenever necessary.
- Answer incoming calls; take messages and re-direct calls as required.
- Deal with email enquiries.
- Data entry.
- Handle the mail and ensure the office stationery storage unit is well stocked.
- Organise and store paperwork and computer-based information.
- Maintain general office files, including job files, and other files related to the company’s operations.
- Perform other relevant duties when needed.
- Administer sorting and distribution of samples according to set standard operation procedures to ensure the correct and prioritized channeling of specimens to various laboratories.
- Process samples registrations (logging) and queries according to set standard operating procedures.
- Ensure dispatching of samples specimens for processing in accordance with prescribed standard operating procedures and monitor progress and filling of reports, including handling queries and report delivery, in line with prescribed turnaround time.
- Handle and refer administrative queries and customer complaints to ensure timely resolution of queries and responses to complaints.
- Track progress of samples delivery by couriers to ensure that specimens are received by the designated laboratory, processed and results returned timeously and in compliance with set standards operating procedures.
- Investigate bottlenecks in pre-analytical laboratory processes and ensure timely resolution of challenges.
- Ensure basic housekeeping in own working area, including suitable cleaning and preparation of equipment according to set standard operating procedures.
- Monitor stock levels and order additional stock to always ensure the availability of the required materials and ensure delivery of stock to the doctor’s rooms.
- Represent the organisation by applying the principles of customer care in the medical pathology field and interact professionally and ethically with medical professionals and staff.
- Receive cash from patients and ensure banking of monies in accordance with relevant standard operating procedures.
- Report incidents, log customer complaints and problem solutions, read documents and action tasks on the laboratory information management system in compliance with relevant organisational policy.
- Prepare and scan patient forms onto laboratory scanning system (Prelink) and resolve the scanning incompletes according to set standard operating procedures.
- Adhere to Neuberg Global uniform protocols as set standard operating procedures.
Requirements
- Grade 12
- BSC qualification
- 2 years Laboratory experience
- Computer literate
- Laboratory information systems
- Able to work shifts
- Must have reliable transport
