What We’re Seeking
The Fleet Manager will oversee the management of a fleet of over 200 trucks and passenger vehicles, ensuring efficient operation, safety, and compliance with all regulatory requirements. This position reports directly into the VP of Final Mile Solutions and is responsible for managing vehicle purchasing and leasing, overseeing multiple fleet management platforms, and coordinating with vendors, customers, and internal departments. The Fleet Manager will also report on fleet performance using key performance indicators (KPIs). The ideal candidate will work closely with General Managers (GMs), HR, customers, and vendors to ensure smooth operations and maximize fleet productivity.
What You’ll Do (Responsibilities)
Fleet Management & Operations:
- Manage a fleet of over 200 trucks and passenger vehicles, ensuring operational efficiency, safety, and compliance with regulations.
- Oversee vehicle purchasing, leasing, and vendor negotiations, including service level agreements (SLAs) and contract management.
- Implement and monitor maintenance schedules to minimize downtime and ensure vehicle specs meet operational and safety needs.
- Track repair costs and manage fleet utilization for maximum efficiency and cost-effectiveness.
- Leverage fleet management platforms (e.g., telematics systems) and track performance KPIs (vehicle uptime, fuel efficiency, maintenance costs).
- Monitor fuel programs, usage, and cost-reduction strategies, ensuring compliance with DOT regulations and industry standards.
Vendor & Supplier Management:
- Negotiate and maintain relationships with key vendors for vehicle purchases, maintenance, and fleet-related services, including coordinating external service providers for cost-effective repairs.
- Establish vendor expectations and standards, hosting quarterly reviews to ensure compliance.
- Hold vendors accountable to established standards by implementing corrective actions as needed to consistently meet business requirements and performance goals.
Financial Management & Billing:
- Oversee fleet-related financials, including vehicle purchases, leases, and maintenance costs, ensuring timely invoicing and accurate billing.
- Implement cost-control measures, recommend budget adjustments, and collaborate with the finance team for fleet-related forecasting.
Reporting & KPI Management:
- Manage KPIs related to fleet operations, prepare reports on performance, and track maintenance and compliance metrics.
- Maintain the telematics platform to maximize utilization, serving as the primary contact for billing, processing, and ordering.
Partnerships:
- Partner with General Managers (GMs) to align fleet operations with business goals.
- Work with HR on standards and policies.
- Act as the point of contact for customers, addressing fleet-related concerns and measuring program effectiveness through scorecards and surveys.
Compliance & Safety:
- Ensure vehicle compliance with local, state, and federal regulations, including safety, emissions, and licensing requirements.
- Facilitate crash reporting and coordinate with F&A for crash fund tracking.
Leadership & Development:
- Promote a culture of teamwork while working within our organizational values.
- Manage passenger vehicle fleet operations, including ordering and facilitating vehicle movements, and maintaining the Holman portal.
- Provide training on KPIs and vehicle management as needed.
What You’ll Need (Qualifications)
- Bachelor’s degree in Supply Chain Management (preferred), Logistics, Business Administration, or a related field.
- 3-5 years of experience in fleet management, logistics, or related roles, managing fleets of 100-200+ vehicles.
- Strong understanding of vehicle purchasing, leasing, maintenance, and DOT regulations.
- Excellent communication and negotiation skills, with the ability to interact with vendors, internal teams, and customers.
- Financial acumen for managing fleet budgets and cost analysis.
- Proficiency with telematics systems and ability to analyze data to create actionable reports.
-Certified Automotive Fleet Manager (CAFM) certification or ability to obtain within the first year.
Work Environment:
- Fast-paced office-based environment with frequent cross-functional team interactions.
- Occasional travel for fleet operations, vendor meetings, and training (up to 20%).
- Flexible hours may be required, including nights and weekends to meet project deadlines.
- Office setting with standard equipment (computer, monitor, keyboard).
- Prolonged sitting and working on computer screens for detailed analysis.
- Occasional travel and ability to manage logistics for site visits.
