Our client is a boutique investment company based in Cape Town. Due to their rapid growth in recent years, they now have a new role to support their general office management – this is a junior role for a recent graduate who ideally would like to build their career in the investments industry.
In this Office Administration role, you will be working within a close-knit team of highly experienced Investment professionals. This is a key new role that is the first point-of-contact for the business and their wealth management clients, requiring maturity, confidence, calmness, awareness of the differing needs and characteristics of individuals, diligence, accuracy, a “can do” attitude, and the ability to work independently across multiple concurrent activities. The role is involved in creating and maintaining a welcoming and pleasant environment for clients and visitors, as well as maintaining a pleasant office environment for team members. The broader responsibility of the role covers a range of activities within office management, client service, and general office administration.
The role supports the activities of the business engaged with their wealth management clients, leading asset managers, service providers to the investment industry, and all members of the team. In this role, you will benefit from hands-on interaction with owners and senior executives of local wealth management firms, and with senior executives from across the local and global investment industry. Additionally, through involvement in many areas of our firm, you will have the opportunity to work alongside directors and senior members of the team, providing you with the chance to develop your knowledge and expertise in the investment industry.
The successful candidate will report to the Office Manager and assist in front-of-house reception, office management, and travel management. The successful candidate will be an assistant to a client-facing team and will also perform regular and ad hoc administrative and support functions in the areas of client service, general business administration, compliance, online services, and adviser programmes. The role will be a key contributor to the team’s professional and efficient approach to delivering specialist investment services to clients and will require the successful candidate to be comfortable undertaking planning and administrative functions independently, accurately, timeously, and with regular communications.
Work Experience
The ideal candidate for this role will have 1-2 years’ work experience, with a major portion of your experience gained in an administrative role in an investments company. Examples of relevant experience would include the following:
- Front-of-house (incl. reception and switchboard) in a professional-services firm
- Office management in a professional services firm
- General office administration in a professional services firm
- General communications between a professional services firm and business-to-business clients
- Planning and administration related to business-to-business client servicing
- Co-ordination and booking of travel arrangements for business executives
- Compilation and publishing of reports, documents, articles, etc.
- Management of online client record-keeping and reporting
Qualifications and Skills
Qualifications and skills serve to demonstrate the potential candidate’s expertise to perform this role. The type of qualifications and skills we are looking for include the following:
- A basic commercial tertiary education, ideally a degree in business subjects.
- Computer Skills: Essential to be computer savvy, and comfortable to learn and work with new software systems; proficient use of all MS Office applications (incl. MS Excel, Word, PowerPoint) is essential to succeed in this role;
- Proficient use of Adobe PDF (incl. creating, editing, and publishing Adobe PDFs) is preferable.
