Mission Description
Job Purpose:
Successfully co-ordinate all client shipments from start to end with a focus on Planning.
Job Function:
Fleet Planning and Coordination
- Allocate vehicles to loads, ensuring optimal routing, scheduling, and fleet utilization based on operational needs and client requirements.
- Monitor vehicle readiness by liaising with the workshop and ensuring vehicles are dispatched as per the plan.
- Prepare detailed loading instructions, driver assignments, and route maps to minimize delays and enhance productivity.
- Track and monitor vehicle positions, loading, and offloading times to address potential delays promptly.
- Analyze fleet data to identify inefficiencies and implement improvements to enhance fleet performance.
System and Data Management
- Update and maintain the Transport Management System (TMS) with relevant shipment, vehicle, and driver documentation.
- Utilize tracking systems and Carlo1 to provide real-time tracking updates and generate performance reports.
- Monitor and ensure the accuracy of outgoing driver worksheets, diesel orders, and other operational records.
General
- Assist with loading instructions from clients, including making orders/maps for drivers to load and ensure that vehicle details/driver details are sent to clients.
- Ensure driver is briefed on where to load and OBE's needed.
- Ensure vehicle departs to the loading point and border.
- Assist driver with queries telephonically, or through order number queries or barcodes.
- Allocate vehicles once they are signed out of the workshop.
- Request documents from clients.
- Handover documents to dispatch to do the necessary to ensure vehicles are dispatched.
- Ensure files have correct rates and details.
- Ensure costing of north and south bound files is done for accounts department.
- Monitor and prepare loading instructions in advance for loading at Sasol Secunda (Sulphur) or any other client.
- Monitor submission of driver trip payments on internal information system.
- Monitor the completion of outgoing driver worksheets and diesel orders.
- Monitor driver advances, refunds, etc. Petty cash control.
- Monitor and report on fleet efficiencies, i.e. borders, loading and offloading delays.
- Review and monitor tracking reports to customers.
- Ensure documents are sent to the border posts.
- Assist POD controller as and when required.
- Any other delegated tasks deemed reasonable and as assigned by the reporting manager.
QHSE
- Ensure all QHSE requirements are adhered to and relevant policies and procedures are followed.
Profile
Minimum Education, Experience Requirements & Core Competencies
- Matric
- Road transport qualification or any relevant course qualification is an advantage
- Computer literate
- Excellent communication, interpersonal skills and client liaison skills
- Working knowledge of local and cross-border transport and logistics
- 3-5 Years of working experience in a similar role within the Cross Border transportation industry
