Overview: A leading safari company specializing in East and Southern Africa is seeking an organized and detail-oriented Debtors Administrator to join our finance team. This role is crucial in managing the accounts receivable functions, ensuring accuracy in client accounts, and maintaining excellent relationships with both clients and internal teams. The ideal candidate is meticulous, has strong communication skills, and thrives in a fast-paced environment.
Debtors Administrator Responsibilities:
· Invoice Management: Generate, process, and distribute invoices for clients accurately and in a timely manner.
· Payment Reconciliation: Track, record, and reconcile incoming payments against client accounts.
· Accounts Receivable: Maintain and monitor debtor accounts to ensure timely payment, flagging overdue balances and following up with clients as necessary.
· Collections: Initiate follow-ups on outstanding invoices with clients professionally, resolving payment issues and arranging payment terms when needed.
· Reporting: Compile regular reports on debtors’ aging, outstanding amounts, and collection status for management review.
· Dispute Resolution: Address and resolve any client disputes regarding invoices, payment terms, or balances.
· Documentation and Compliance: Maintain accurate and up-to-date records, ensuring all documentation is compliant with company policies and industry regulations.
· Team Collaboration: Work closely with the sales, booking, and finance teams to ensure a smooth process for client billing and collections.
Debtors Administrator Requirements:
· Minimum of 2 years of experience in a finance or accounting role, preferably in accounts receivable or debtors management.
· Proficiency in accounting software and Microsoft Excel; experience with Sage or similar ERP systems is a plus.
· Strong organizational skills and keen attention to detail.
· Excellent communication and interpersonal skills, with a customer service mindset.
· Ability to manage multiple tasks and prioritize effectively in a dynamic environment.
· A proactive approach to problem-solving, with the ability to handle client disputes professionally.
