Icebolethu Group is currently in search of an Executive Assistant who will provide high-level administrative support to both executives, ensuring the efficient operation of their offices. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to support the executives in their strategic and operational duties.
Qualifications, Experience and Competencies
Minimum Qualifications: Bachelor’s degree in Business Administration, Management, or a related field.
Experience and Knowledge required: Minimum of 5 years of experience as an executive assistant or in a similar role, preferably supporting C-suite executives.
Skills and Competencies required
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Communication Skills: Excellent verbal and written communication skills.

Key Performance Areas
Calendar Management: - Schedule and coordinate meetings, appointments, and travel arrangements for the CFO and COO.
- Ensure the executives’ calendars are up-to-date and conflicts are resolved promptly.
Communication: - Serve as the primary point of contact between the executives and internal/external stakeholders.
- Draft, review, and manage correspondence.
Meeting Coordination: - Prepare agendas, take minutes, and follow up on action items from meetings.
- Organize and coordinate executive meetings, board meetings, and other key events.
- Draft and manage the executives’ reports and presentations.
- Compile and circulate document packs ahead of meetings.
- Coordinate performance review meetings with the executives’ subordinates.
Travel Arrangements: - Plan and book travel, accommodation, and itineraries for the CFO and COO.
- Handle travel-related expenses and reimbursements.
Document Management: - Maintain and organize confidential files and records.
- Ensure documents are easily accessible and properly archived.
Project Support: - Assist with special projects and initiatives as directed by the CFO and COO.
- Conduct research and compile data to support decision-making processes.
Office Management: - Oversee office supplies and equipment for the executives’ offices.
- Coordinate with other administrative staff to ensure smooth office operations.
