My client is seeking a dedicated Maintenance Coordinator to join our small but dynamic team. If you are organized, proactive, and have a passion for customer service and property management, we want to hear from you Drivers and own vehicle required. Key Responsibilities: · Communication & Issue Resolution: · Serve as the primary point of contact for all maintenance-related correspondence from members, ensuring timely resolution of routine and common property maintenance issues. · Facilitate communication between owners regarding maintenance concerns. · Maintenance Coordination: · Open maintenance tickets/tasks on WeConnect U, obtain quotes from contractors, and submit for Trustee approval. · Conduct site visits to assess maintenance needs and ensure quality of work. · Contractor Management: · Appoint contractors, oversee their work, and ensure satisfactory completion. · Process invoices for payment, including scanning/uploading to WeConnect. · Member Notifications: · Inform members and Trustees about ongoing work, site presence of contractors, and distribute relevant newsletters. · Security & Inventory Management: · Manage stock take and recording of keys, tags, and remotes. · Municipal Liaison: · Handle blocked drain issues, municipal callouts, and liaise with local authorities to log and track service requests. · Follow up on municipal bills as necessary. · Insurance Claims: · Submit maintenance issues to insurance for claims and manage the entire process from start to finish. · Compliance & Documentation: · Prepare and submit AGM documentation to the Ombudsman and ensure compliance with POPI, FIC, and other relevant legislation. · Update conduct and management rules, seeking Trustee and owner approvals. · Meetings: · Attend meetings, take minutes, and circulate approved minutes to the team via WeConnect U. Qualifications: · Proven experience in property management, maintenance coordination, or a related field. · Strong organizational skills with attention to detail. · Excellent communication and interpersonal skills. · Proficiency in using property management software (experience with WeConnect U is a plus). · Ability to handle multiple tasks and prioritize effectively. · Knowledge of relevant legislation and compliance requirements is advantageous. Hours: Monday to Friday 9.00am to 5pm Salary: R10,000 and R12,500 pm Contract month to month
